This is a unique, high-impact role designed for a sharp, proactive operator who wants to do more than just manage a calendar. You will be the "right hand" to the leadership team, ensuring the engine of the company runs smoothly while scaling our internal systems.
For the right candidate, this role offers a direct growth trajectory toward Chief of Staff, providing deep exposure to strategy, finance, and high-level decision-making.
Key Responsibilities
1. Executive & C-Level Support
- Strategic Scheduling: Manage complex calendars, prioritizing high-impact meetings and protecting deep-work time.
- Meeting Lifecycle: Prepare comprehensive briefs before meetings, capture actionable notes during, and relentlessly track follow-ups after.
- High-Level Logistics: Coordinate board meetings, investor updates, and end-to-end travel logistics.
2. Operations & Administration
- Infrastructure: Oversee day-to-day administrative operations to ensure a frictionless work environment.
- Knowledge Management: Build and maintain internal documentation systems (e.g., Notion/Slack) and knowledge hubs.
- Office & Tech: Manage co-working space logistics, office supplies, and basic IT coordination for the team.
3. Vendor & Tool Management
- SaaS Ownership: Manage relationships with SaaS providers, tracking renewals, subscriptions, and service agreements.
- Vendor Liaison: Source and manage external vendors, ensuring cost-efficiency and organized contract tracking.
4. HR & People Operations
- Talent Acquisition Support: Post roles, screen CVs, and coordinate the interview pipeline.
- Lifecycle Management: Own the onboarding and offboarding checklists to ensure a world-class employee experience.
- Culture & Tracking: Maintain HR records (headcount, leave, probation) and lead the charge on team offsites and activities.
5. Finance & Compliance Coordination
- Financial Handoffs: Collect invoices and receipts; organize expense documentation for the accounting team.
- Budget Tracking: Prepare and maintain basic budget and cash flow tracking sheets.
- Governance: Maintain the company contract repository and a master compliance calendar.
6. Reporting & Dashboards
- Data Oversight: Build and update operational dashboards to provide leadership with visibility into hiring pipelines, task completion, and compliance.
Your Profile
Required Experience:
- 3–5 years in an Executive Assistant, Office Manager, or Operations Generalist role.
- Proven track record in a fast-paced startup environment or supporting senior C-suite leadership.
- Exceptional organizational skills with the ability to context-switch without losing detail.
- Bilingual: Native/Fluent Thai and strong professional English (written and verbal).
