Property Administrator

 Job Description:

Job Summary:

The Property Administrator will play a key role in supporting the Asset Manager with the day-to-day operations, financial administration, and tenant management of a diverse real estate portfolio.

The role requires strong organizational skills, attention to detail, and the ability to handle administrative and operational tasks efficiently to ensure the smooth running of the property management function.

Key Responsibilities

1. Lease Administration & Tenant Relations

  • Assist in the preparation, execution, and management of lease agreements.
  • Maintain and update lease records, including renewals, terminations, and amendments.
  • Serve as a point of contact for tenants regarding inquiries, complaints, and service requests.
  • Track lease expirations and coordinate renewal negotiations with the Asset Manager.

2. Financial & Administrative Support

  • Assist with preparation of budgeting, forecasting, and financial reporting for property portfolios.
  • Track and process rental payments, service charges, and utility bills.
  • Prepare invoices, track accounts receivable, and follow up on outstanding payments.
  • Assist in cost management by monitoring expenses and ensuring adherence to budgetary guidelines.
  • Maintain accurate and up-to-date property records, contracts, and financial documentation.

3. Reporting & Compliance

  • Assist in preparing monthly and quarterly asset management reports.
  • Ensure property management records and documentation are maintained in compliance with company policies.
  • Support the Asset Manager in preparing financial and operational reports for senior management and stakeholders.
  • Assist in regulatory and compliance requirements, including risk assessments and audits.

4. General Administrative Support

  • Provide administrative support to the Asset Manager, including scheduling meetings, preparing reports, and organizing documentation.
  • Maintain an efficient filing system for leases, contracts, and property-related records.
  • Assist in preparing presentations, proposals, and other business correspondence as needed.

Qualifications & Experience:

  • Grade 12 minimum
  • At least 2-5 years' experience in property administration, real estate management, or a related role.
  • Familiarity with lease agreements, property laws, and financial administration in property management.
  • Experience working with property management software MDA/MRI Non-Negotiable

Skills & Competencies:

  • Strong administrative and organizational skills with excellent attention to detail.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation with a professional and diplomatic approach.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Ability to analyse financial reports and budgets.
  • Understanding of property maintenance and operational processes.

Salary: Market related based on the level of experience

Working hours: 08:00 to 16:30, Monday to Friday.
