Corporate Administrator

Employment Status Entitled / Entitled to work

This role will be responsible for the effective and efficient administration of a portfolio of structures of varying complexity, dealing with clients and intermediaries on a daily basis.

Whilst the individual will have a portfolio of their own, they will also work within a small team overseeing a number of structures for one specific client.

Key Responsibilities

Client Service and Relationships:

 Ensure that all administration and client services issues are attended to in

accordance with the company's procedures manual in force at any given time

and relevant client agreements and other documents

 Attendance in meetings, as required, with clients and/or their advisers, always with the support of a Manager, and the development of the relationships with them.

Attending to correspondence and telephone contact with clients and/or their advisers on all matters in a timely and efficient manner

 Ensure that accounts relating to your clients portfolio of trust and companies are prepared in an accurate and timely manner in accordance with agreed requirements

 Responsible for providing any other relevant information to the clients and/or their adviser or to third parties at the request of the client.

Corporate Administration:

 Responsible for the efficient day to day management of all clients affairs in

accordance with the terms of appointment including the maintenance of all

relevant Trust/Company records

 Undertake transactions as delegated and refer to the Assistant Manager, Senior Manager (and or colleagues, as applicable) for technical assistance

 Maintenance of statutory records in conjunction with the Corporate Secretarial Team

 Preparation and submission of regulatory deliverables to the relevant regulatory body

 Complete tasks that arise as a result of Compliance Team undertaking client

reviews and other internal control reviews in a timely and efficient manner

 Ensure that all KYC and Due Diligence is collected from clients and other 3 rd parties and considered in accordance with the procedures manual

To undertake any other task as may be required by Management

 Update, scan, file and archive records as necessary to comply with VGs record retention policies

 Respond to internal communications concerning matters affecting the operation of any aspect of VGs business in a timely manner

 Work with the Assistant Manager (and Senior Manager, as applicable) in

conducting annual fee reviews for your clients; Make recommendations based on research undertaken; Ensure increased fees are passed where provided for in the administration agreement/fee proposal; and liaise with support teams(accounts, compliance and corporate secretarial) to assess whether work undertaken merits additional charges to the client.

Contribute towards the successful delivery of remediation and other projects

approved by the SEG, be that by way of constructive feedback, membership of working parties, research and delivery of information not readily available from our systems and/or the performance of data input or other administrative tasks.

Where responsible for the administration of a client entity establish, maintain and fulfil actions recommended by diary entries for tax filings and advice updates, asset performance reviews, agents, attorneys or delegated functionary performance reviews, quarterly client calls, financial account production deadlines, fee settlement discussions or chasers, quarterly nominal ledger requests for externally bookkept entities, CDD review and updates,breach/complaint/error remediation, client money reviews fee reviews and increases and any other future actions required by procedures or necessary for the efficient administration of client entities.

Experience:

2 years minimum experience of Finance Industry Business.
