Assistant Administrator
Job Description:
Role Purpose
Providing assistance to and being a member of dedicated and progressive team, providing comprehensive administration services to our international client base and their structures.
Core Responsibilities
- Assist the team with the administration of a varied client portfolio, comprised of Trusts, Companies, Foundations, Limited Partnerships, JPUTs and Funds.
- Draft written instructions and on-line payments for distributions, dividends, professional fees, suppliers and other approved transactions.
- Draft minutes, resolutions, checklists and general correspondence for review by an Administrator or Manager.
- Assist with maintaining accurate statutory, accounting and client administration records for the team's client portfolio.
- Maintain client files in an orderly manner, ensuring that documents and correspondence are filed correctly and promptly.
- Liaise professionally with intermediaries (banks, law firms and other professional advisors) by email, telephone and written correspondence, as required.
- Assist with client due diligence, periodic reviews and other compliance-related administration in accordance with the firm's procedures and instructions.
- Become proficient in the content and application of the firm's policies, procedures and systems, applying them consistently to all work performed.
- Escalate queries, risks, errors or concerns promptly to the appropriate Administrator or Manager.
- Record all time accurately and promptly, for review and approval by the line Manager on the next working day.
- Provide general assistance to the team, as necessary.
Technical / Professional / Qualification Preference
- Graduate or School Leaver
- Willingness to study towards a relevant professional qualification, such as STEP, CGI or an equivalent qualification, where appropriate.
