Job Description:
Job Summary
We are seeking a reliable and detail-oriented Admin Executive to support the daily administrative and financial operations of our recruitment firm. This role plays a critical part in ensuring smooth internal processes, accurate reporting, and timely coordination with candidates, clients, and relevant authorities.
Key Responsibilities
Finance & Administration
- Process and record bank transactions for staff payments, reimbursements, and operational expenses
- Prepare, issue, and submit monthly invoices to clients
- Monitor company bank accounts and verify client payments
- Follow up with clients on outstanding invoices and send payment reminders professionally
- Maintain proper filing and records of financial documents and transactions
Reporting & Compliance
- Prepare and submit required reports to government bodies and relevant authorities
- Ensure administrative documents are accurate, complete, and submitted on time
Coordination & Support
- Arrange and host meetings for candidates and clients (online or physical)
- Coordinate schedules, meeting links, and basic meeting documentation
- Provide general administrative support to consultants and management
- General Office Administration
- Maintain organised records for invoices, contracts, and internal documentation
- Handle ad-hoc administrative tasks as required to support business operations
Requirements
- Diploma or Degree in Business Administration, Accounting, or related fields
- Prior experience in administration, finance support, or professional services is an advantage
- Strong attention to detail and organisational skills
- Good communication skills and professionalism when dealing with clients
- Proficient in ChatGPT, Deepseek, Microsoft Office / Google Workspace
