About the job Executive Assistant
- Managing schedules and streamlining calendars determining meeting priority, preventing overbooking, etc.
- Scheduling internal and external meetings
- Meeting, offsite and small-scale team event planning securing venues, catering, tech set-up, etc.
- Booking travel arrangements
- Processing monthly expense reports
- Preparing presentations and compiling materials for meetings
- Writing internal and external correspondence
- Organizing and maintaining client contacts
- Processing invoices and facilitating new vendor set-up when necessary
Requirements:
The ideal candidate will possess the following skills, experience and qualities:
- Excellent organizational, interpersonal and written and verbal communications skills
- Punctual and responsible with a proven track record of performing efficiently under deadline pressure
- Ability to take initiative and proactively anticipate the needs of supervisors
- Smart, personable, hard-working and motivated to learn and excel
- Detail-oriented and able to multitask in a fast-paced environment
- Trustworthiness, discretion and sound judgment handling confidential and sensitive information
- Extremely computer savvy: Proficiency in Google Workspace, Microsoft Word, Excel and PowerPoint required; ability to quickly pick-up additional software is a plus
- Minimum 1-2 years of administrative experience
- Interest in print and web content, digital media and publishing is a plus
- College degree preferred
