Senior Executive (Operations/ Home Medical)

 Job Description:

1. Oversee daily Home Medical service operations to optimize utilization and care outcomes, including:

  • Plan, monitor, and optimize doctors' schedules and utilization, including forecasting future service demand.
  • Manage onboarding of new doctors, including routine contractual reviews and evaluations.
  • Oversee processing of doctors' fee payments and transport claims for accuracy and timeliness.
  • Maintain timely record keeping of doctors' professional documents (e.g., SMC cert, BCLS, malpractice insurance).
  • Generate reports and data analytics for HM operations, NEHR audits, and claim submissions.
  • Review existing workflows and propose process improvements to increase productivity.
  • Propose and develop HM related work policies, SOPs, and workflows.
  • Organize HM related meetings (calendar invites, agenda, minutes, follow-up).

2. Manage feedback and complaints relating to HM services.

3. Oversee lab ordering, internal referral and severe disability assessment processes.

4. Supervise HM Admin Assistants to ensure duty coverage, prompt/quality responses, and step in to support groundwork during exigencies or manpower shortages.

5.HM Clinical Services Project Management

  • Support project conceptualization and proposal writing.
  • Review or develop workflows and operationalization plans for initiatives.
  • Develop project timelines (e.g. Gantt charts), schedule meetings and facilitate discussions.
  • Coordinate inputs and follow-ups with internal and external stakeholders, driving milestones and timelines.
  • Define, monitor and report outcome measures and key performance indicators with process owners.
  • Manage project budgeting and expense monitoring.
  • Apply for relevant licenses, permits, and establish service contracts.
  • Manage contract-related processes (e.g. Service Level Agreements and Memorandum of Understanding), including completion, collection and archival.
  • Handle grant applications, reporting, and submissions, as applicable.

6.Plan and coordinate Medical Advisor engagements for multidisciplinary reviews, home visit audits, and meetings.

7.Manage end-to-end organization of monthly Continuing Professional Education (CPE) events, including speaker coordination, publicity, logistics, facilitation, and feedback collation.

8.Provide secretariat and research support for the development of care pathways, conferences, and related events.

9. Any other tasks assigned by the said reporting officer.

Qualifications

  • Degree in any discipline. Experience in operations, project management or healthcare setting would be an advantage.
  • Analytical skills with an understanding of financial management, data analysis, workflow design and operational process engineering, service development and project management.
  • Effective communication and business writing skills.
  • Good interpersonal and stakeholder management skills.
  • Independent and effective team player, who is approachable, collaborative and has growth mindset
  • Proactive in planning, problem-solving, able to anticipate issues, resilient, multi-task and work independently in a fast-paced environment.
