Job Responsibilities:
- Office Operations Management: Ensure the smooth functioning of daily office operations by managing schedules, coordinating meetings, handling correspondence, managing office supplies, and resolving any operational issues.
- Records and Database Management: Maintain, update, and secure sensitive company records, contracts, and documents to ensure data accuracy and confidentiality.
- Housekeeping and Personal Support: Oversee cleanliness and maintenance of the office, liaise with service providers for repairs, and provide personal assistance to management staff, such as booking accommodations, arranging travel, and managing personal errands.
- Communication and Coordination: Serve as a liaison between internal teams, external stakeholders, and suppliers; facilitate smooth communication and prepare reports or presentations as required.
- Staff Support: Assist with HR tasks, including recruitment, employment contracts, employee record maintenance, payroll, benefits management, and compliance with labor and tax regulations.
- Miscellaneous Support: Provide assistance with budget management, expense tracking, invoice processing, and initial tasks related to the company's activities, such as research and outreach.
Job Requirements:
- Minimum of 2 years of general assistant or administrative experience;
- College degree or higher;
- Understand the management process and administrative procedures of the company.
- Good skills in MS office.
- Effective time management skills.
- Good at English in speaking and writing.
- Ability to organize and arrange work scientifically.
- Careful, meticulous, accurate in work.
- Friendly, polite and helpful.
- Eager to learn, detail oriented and supportive attitude.
- Be able to work independently as well as teamwork.
