Job Title: Spare Part Coordinator

Reporting to: Operation Manager

Key Responsibilities

  • Provide back-office and sales support for spare parts related to packaging and related machinery, including issuing sales quotations, sales orders, invoices, and purchase orders.

  • Check inventory levels before procurement to ensure optimal stock management.

  • Coordinate with customers to issue quotations and ensure timely delivery of goods.

  • Support the manager with administrative tasks and paperwork as required.

  • Issue invoices and prepare all necessary documents to complete the sales process.

  • Liaise with the sales and service teams to assist customers with product-related issues.

  • Prepare and submit regular reports and correspondence in a timely manner to support management decisions.

  • Handle additional tasks as assigned by managers.

Qualifications

  • Minimum education: Vocational Certificate in Accounting, Business Administration, or related fields.

  • Female, aged between 21-40 years old.

  • At least 1 year of experience in a sales support role.

  • Experience in spare parts sales support, especially in the machinery business, is preferred.

  • Good command of spoken and written English; TOEIC score of at least 450 is required.
  • Proficient in Microsoft Office, especially Excel and Word, ERP.

  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and multitask effectively.

  • Sound judgment and the ability to make timely decisions.

  • A team player with strong collaboration skills
