Real Estate Executive Assistant (Part time/3 days)

 Job Description:

Responsibilities

  • Support, coordinate, maintain, and populate estate facilities (e.g., security systems, lighting, air-conditioning).
  • Manage sub-work contractors to ensure an orderly, functional, and sustainable estate environment.
  • Prepare monthly real estate reports, including lease documents and utility usage (electrical, water, air-conditioning).
  • Maintain and manage relationships with internal and external stakeholders such as landlords, agencies, suppliers, and customers.
  • Address internal key stakeholders' requirements involving the usage of estate facilities (e.g., events in pantry/townhall, labs, offices, new hire onboarding).
  • Provide ad-hoc support to the Operations Team in preparing communication memos.
  • Assist in planning and coordinating internal team events.

Requirements

  • Minimum of 2 years of experience in estate management, real estate administration, or a related role.
  • Strong organizational and coordination skills.
  • Good communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Flexibility to work on weekends and respond to ad-hoc requests.
  • Ability to work independently and as part of a team.
  • Average 3 working days per week but working days may fall on 1 weekend, usually Saturday.
  • 6 months contract with possibility of extension (comes with benefits)
