Senior General Admin

 Job Description:

We are seeking a proactive and organized Senior General Admin to support our offices day-to-day operations and contribute to an engaging and well-organized workplace environment. This role will be pivotal in managing office resources, onboarding new employees, driving employee engagement activities, and coordinating business travel for management members. Key Responsibilities

Office Resources Management

  • Manage relationships with maintenance vendors to ensure a smooth and fully functioning office environment.
  • Oversee utilities and supplies, including coffee machines, stationery, pantry supplies, and other essential office items.
  • Perform regular checks on office resources to ensure stock availability, functionality, and replenishment when necessary.
  • Coordinate with external vendors to resolve maintenance or equipment issues in a timely manner.

New Joiner Orientation

  • Conduct orientation sessions for new employees, covering essential information about company policies, office facilities, and general etiquette.
  • Provide instructions on office access, including access card setup and office navigation.
  • Guide new hires on practical office processes, such as booking meeting rooms and understanding office safety protocols.

Employee Engagement

  • Serve as a key committee member for organizing internal employee engagement activities, including the annual dinner, festive celebrations, game days, fruit days, and other team-building initiatives.
  • Collaborate with HR and other departments to foster a welcoming and inclusive culture through regular events and activities.
  • Assist in planning, executing, and tracking the success of engagement events to continuously improve employee experience.

Business Travel Coordination

  • Coordinate and manage all aspects of business travel for management members, including flight bookings, transportation, accommodation, and any required documentation.
  • Communicate with travel vendors to ensure seamless travel experiences and assist with any travel adjustments or support required during the trip.
  • Keep track of travel schedules, itineraries, and expenses to ensure efficient planning and budgeting.

Qualifications and Requirements

  • Proven experience in office administration, employee engagement, or similar roles (minimum of 3-5 years preferred).
  • Strong organizational skills and a proactive approach to managing multiple responsibilities.
  • Excellent communication skills with the ability to conduct orientation sessions and collaborate with different teams.
  • High attention to detail and a commitment to providing a well-maintained and resourceful office environment.
  • Experience in travel coordination is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office tools.
