Responsibilities

  • To support between Sales team and all operational teams, the local logistics team, order management, and our local distributors & customers.
  • Responsible for data management and customer and documentation coordination, from pre-order documentation, filing, and tracking of all Sales Orders, within the team. Work involves extensive dealing with Sales Team, Distributors, Resellers, End Customers, 3rd party warehouse on matters such as order status, PO discrepancy.
  • To provides administrative support in the day-to-day running of the Sales office
  • Responsible for filing and documentation up-keeping to support sales
  • Administration--Weekly depends on numbers of new projects in soft and hard copy format
  • Administration Daily tracking of Standard, proactive order & coordinate with team / customers on PO issues
  • Liaise with sales and customers for order booking and follow up through
  • Assist on commercial information packs to existing and prospective clients--upon request
  • Assist with the compilation of sales, technical and informational presentations for existing and prospective customers--upon request
  • Use reporting tools (e.g., Salesforce, Siebel, Lotus Notes, MS-Outlook, Oracle) as the source and archive for all data, actions, commitments, and tracking of business--daily
  • Update BFO opportunity status for all and for segment customers, need to update SO (sales order) number in BFO and sales status in BFO opportunity--weekly/monthly
  • Channel Spends key in the system and update the Channel Spend excel report-monthly -
  • Compute & raise annual budget upon receiving target setting from Commercial Ops Manager and Channel Marketers
  • Gather documents for new customer for Channel Spend account creation
  • Ensure all Channel Spend claim submission is in accordance to audit guidelines and obtain necessary approvals and documents for payment processing
  • Append quarterly Rebates / Performance Bonus KPI achieved into Channel Spend
  • Provide support to Channel team in generating claim forms and purchase orders for their customers.
  • Compile sales forecast from sales team and participate the meeting with Demand Planner and Commercial Operations manager--once a month upon request.
  • Assist in closing business by following through on sales opportunities and removing technical and administrative roadblocks-daily
  • Support the creation of account in BFO and Credit management system.
  • Liaison with customers to consolidate credit application form, financial reporting
  • Work closely with Finance, Order management for Oracle creation clients
  • Raise the ticket to FISS for manual invoice request in Sequence System.
  • Assist Commercial Operation team in cost sheet, sales reporting & compilation, excel file, extract data.
  • Attend the sales/cadence/other meetings as assigneddepends on the frequence of those meetings.
  • Any other assigned duties

Requirements

  • Experience within a Manufacturing/Logistics environment an advantage
  • Exposure working in MNCs an advantage
  • Ability to manage multiple tasks and customers
  • Ability to adapt in a dynamic changing environment and handle stress
  • Competency of Microsoft Excel and Word
  • Proficient in English for communication and writing skills
  • Good communication skills with the ability to interface with all organisational levels
  • Knowledge and experience using Oracle & Salesforce is an advantage
  • Willingness to take responsibility and ownership as well as to learn new things
  • Ability to work as a team and has team support mindset.
  • Good personality, reliability and high responsibility are preferred.
  • Has flexible approach to work hours and can work independently
  • High-level of proactive and self-motivated approach to work
