Corporate Services Group Supervisor

 Job Description:

CLIENT PROFILE: A leading multinational agribusiness company delivering premium fresh produce and food solutions across global markets, known for operational excellence and strong regional presence.

Work Setup: Hybrid - 3 days onsite, 2 days WFH

Work Schedule: Normal Dayshift

Work Location: Makati

Provides end-to-end administrative and liaison support focused on import documentation, permit processing, and coordination with government agencies and stakeholders. Ensures timely compliance, customs clearance, and efficient handling of regulatory and office requirements.

Key Responsibilities

Regulatory & Liaison Management

  • Act as the primary liaison with government agencies, brokers, service providers, and external stakeholders.
  • Process, secure, and renew permits, licenses, and certifications across multiple regulatory bodies.
  • Represent the organization in document submissions, follow-ups, and coordination meetings.

Importation & Documentation

  • Oversee import documentation and ensure smooth customs clearance of shipments.
  • Coordinate air and sea shipments, monitor arrivals, and provide timely updates.
  • Prepare, review, and process documentation for regulated imports (e.g., specialized materials/equipment).

Stakeholder Coordination

  • Collaborate with internal teams to gather, validate, and submit required documents.
  • Ensure alignment with compliance requirements and company timelines.

Administrative Support

  • Manage office transactions, documentation, and corporate service requests.
  • Support internal teams (e.g., HR, Legal, Finance, Corporate Services) on administrative needs.
  • Process and monitor SAP Goods Receipt (GR) transactions accurately and on time.

Mailroom & Records Management

  • Oversee incoming/outgoing mail, shipments, and document distribution.
  • Maintain organized, secure, and compliant records of permits and correspondence.
  • Ensure proper tracking of document validity and renewal schedules.

Financial Coordination

  • Handle payables related to importation activities and coordinate timely settlement.

General Duties

  • Perform additional responsibilities as required by management within the role's scope.

Qualifications

  • Bachelor's degree required.
  • Minimum 5 years of experience in administrative coordination, liaison work, import documentation, or regulatory compliance.
  • Strong experience dealing with government agencies and permit processing.
  • Proficient in Microsoft Office (Word, Excel).
  • Excellent organizational, coordination, and interpersonal skills.
  • High attention to detail with strong integrity and accountability.
  • Able to work with urgency and manage multiple deadlines effectively.
  • Professional presence in dealing with external stakeholders and government offices.
