Job Summary

Our client is seeking a Logistics Assistant to coordinate international shipments across Europe, the Middle East, Africa, Latin America, North America, Australia, and India. The successful candidate will manage freight quotations, shipment tracking, documentation, vendor coordination, and logistics data while ensuring timely and compliant deliveries.

Job Responsibilities

  • Request freight quotations from Logistics Service Providers and compare available options based on cost and service quality.
  • Coordinate assigned cross-border asset transfers from the RFQ stage through final delivery confirmation.
  • Track cargo movements across ocean, air, and land transportation routes.
  • Coordinate with carriers, freight forwarders, trucking companies, ports, suppliers, and internal teams.
  • Prepare and monitor shipping documents, including commercial invoices, packing lists, bills of lading, and customs declarations.
  • Work with Exporter of Record and Importer of Record partners to ensure documentation is validated and submitted on time.
  • Communicate proactively with logistics partners and escalate shipment risks within 24 hours of identification.
  • Respond to basic client inquiries regarding delivery schedules, shipment status, and applicable fees.
  • Maintain digital logistics records and respond to team emails promptly.
  • Update shipment milestones in Airtable within 24 hours of any status change.
  • Maintain accurate shipment information, including origin, destination, asset description, UIN, quantity, value, carrier, and tracking references.
  • Identify and resolve data discrepancies within 48 hours.
  • Support monthly reporting, business reviews, and cost-avoidance tracking.
  • Recommend cost-effective transportation routes and freight options.

Key Requirements

Education

  • High school diploma is required.
  • Bachelor's degree in Supply Chain Management, Business Administration, Logistics, or a related field is preferred.

Experience

  • 2–4 years of relevant logistics experience.
  • Previous experience with a Logistics Service Provider or shipping and logistics company is required.
  • Practical experience coordinating international and cross-border shipments is preferred.

Skills

  • Excellent spoken and written English.
  • Good knowledge of Incoterms and international shipping terminology.
  • Basic understanding of import and export regulations.
  • Strong organizational and multitasking skills.
  • Ability to manage several shipments, tracking files, and deadlines simultaneously.
  • Strong attention to detail and data accuracy.
  • Proactive problem-solving and shipment follow-up skills.
  • Effective vendor and stakeholder coordination abilities.

Software and Tools

  • Microsoft Office, particularly Excel
  • Airtable
  • SQL
  • Email and basic logistics-management software

Performance Expectations

  • Achieve an on-time delivery rate of at least 90%.
  • Maintain at least 98% data accuracy in Airtable.
  • Ensure shipment milestones are updated within 24 hours.
  • Resolve identified data discrepancies within 48 hours.
  • Submit complete and accurate shipment documentation with no compliance failures.
  • Support freight-cost optimization by sourcing and recommending competitive shipping options.
