Job Summary

Our client is seeking a detail-oriented and proactive Recruitment Coordinator to manage and support the end-to-end recruitment lifecycle, from hiring requests and candidate coordination to onboarding and contract management. The successful candidate will work closely with hiring managers, recruitment vendors, Finance, IT, and other cross-functional teams to ensure efficient hiring operations, accurate reporting, and a smooth onboarding experience for new employees.

Key Responsibilities

Recruitment Coordination

  • Coordinate the full recruitment process, from receiving hiring requests through candidate onboarding.
  • Confirm budget availability for new hiring requests in collaboration with the Finance team.
  • Follow up with hiring managers to ensure timely submission of hiring intake forms.
  • Share job descriptions with recruitment vendors and agencies.
  • Review and screen candidate CVs, ensuring alignment with role requirements and budget.
  • Coordinate interview scheduling and communicate hiring manager feedback to vendors and candidates.
  • Track recruitment progress and ensure timely closure of open vacancies.

Tracker Management & Reporting

  • Maintain and update recruitment trackers with accurate and real-time hiring data.
  • Prepare and distribute weekly recruitment and hiring status reports.
  • Monitor recruitment metrics and provide updates to stakeholders.

Offer & Onboarding Support

  • Coordinate offer-related activities, including requesting vendor quotations and supporting offer approvals.
  • Follow up on onboarding requirements, purchase orders, and internal approvals.
  • Coordinate with IT to prepare laptops, system access, and user accounts before employees' start dates.
  • Ensure Day 1 readiness by coordinating with IT and relevant departments.
  • Conduct onboarding introductions and confirm successful onboarding completion with hiring managers.

Contract & Vendor Management

  • Monitor contract expiration dates and notify hiring managers of upcoming renewals.
  • Coordinate performance evaluation processes related to contract renewals.
  • Communicate approved salary adjustments to vendors and request updated quotations.
  • Maintain strong relationships with recruitment agencies and staffing vendors.

Purchase Orders & Administrative Support

  • Process and track purchase orders related to contingent workforce requirements.
  • Follow up on vendor invoices and ensure timely processing.
  • Coordinate business travel arrangements with vendors when required.
  • Track annual leave balances and maintain accurate leave records for the team.

Stakeholder Communication

  • Maintain regular communication with hiring managers, vendors, Finance, IT, and internal stakeholders.
  • Ensure timely follow-up on outstanding recruitment and operational activities.
  • Support continuous improvement initiatives within recruitment operations.

Qualifications

Education

  • Bachelor's degree in Human Resources, Business Administration, or a related field.

Experience

  • 1–3 years of experience in Recruitment Coordination, HR Operations, Talent Acquisition, or a similar HR support role.
  • Experience coordinating with external recruitment agencies or staffing vendors.
  • Hands-on experience supporting end-to-end recruitment processes, including CV screening, interview scheduling, and onboarding.

Required Skills

  • Strong knowledge of recruitment coordination and HR operations.
  • Advanced proficiency in Microsoft Excel, including trackers, PivotTables, and VLOOKUP.
  • Proficiency in Microsoft Outlook and other Microsoft Office applications.
  • Excellent written and verbal communication skills in both English and Arabic.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong stakeholder management and follow-up skills.
  • Working knowledge of HR policies, recruitment processes, and local labor regulations.

Preferred Qualifications

  • Experience maintaining recruitment trackers and preparing periodic HR reports.
  • Knowledge of purchase order processing, invoice follow-up, and vendor coordination.
  • Experience supporting contract renewals and performance evaluation processes.
  • Familiarity with Applicant Tracking Systems (ATS) or HRIS platforms is considered an advantage.
