Admin Manager
Job Description:
An established manufacturing operation is seeking a highly organised, disciplined and assertive Administration Manager to oversee and coordinate the administrative function at its manufacturing facility.
This is a hands-on role suited to an individual who thrives in a structured operational environment, is comfortable enforcing processes and standards, and has the ability to manage multiple priorities while ensuring that instructions and administrative requirements are executed accurately and on time.
The successful candidate must demonstrate strong initiative, excellent computer literacy and the confidence to engage professionally with employees, management, suppliers and members of the surrounding community.
This position requires someone who is strong-minded, structured, dependable and comfortable maintaining discipline and accountability within a busy factory environment.
KEY RESPONSIBILITIES
Administration & Coordination
- Manage and coordinate the day-to-day administrative requirements of the manufacturing facility.
- Ensure administrative processes, documentation and reporting are completed accurately and within required deadlines.
- Maintain organised filing, record-keeping and document control systems.
- Coordinate information between factory management, operational teams and relevant support functions.
- Track outstanding actions and ensure instructions from management are followed through to completion.
- Prepare reports, correspondence, spreadsheets and other administrative documentation as required.
- Maintain accurate records and ensure information is readily available when required.
- Assist management with operational administration and ad hoc projects.
Process & Compliance Management
- Maintain disciplined administrative systems and ensure procedures are consistently followed.
- Identify gaps or inefficiencies within administrative processes and take initiative to improve them.
- Monitor adherence to internal procedures and escalate non-compliance where necessary.
- Ensure sensitive and confidential information is handled appropriately.
- Support the implementation and maintenance of structured administrative controls within the factory.
Stakeholder & Community Engagement
- Engage professionally and respectfully with internal and external stakeholders.
- Assist with community-related communication and engagement where required.
- Represent the business professionally during external meetings or engagements.
- Travel locally when required to attend meetings, engage stakeholders or support operational requirements.
- Build constructive working relationships while maintaining appropriate professional boundaries.
Management Support
- Provide proactive administrative support to factory and operational management.
- Prioritise and coordinate multiple requests within a fast-paced environment.
- Follow management instructions accurately and ensure agreed actions are executed.
- Anticipate administrative requirements and take initiative rather than waiting for instruction.
- Assist with resolving administrative challenges that could affect factory operations.
EXPERIENCE & SKILLS REQUIRED
- Previous experience in an Administration Manager, Office Manager, Factory Administrator, Operations Administrator or similar role.
- Experience within a manufacturing, industrial, construction, agricultural, logistics or similarly operational environment would be advantageous.
- Strong administrative and organisational capability.
- Excellent computer literacy, particularly Microsoft Excel, Word, Outlook and general business systems.
- Ability to prepare and maintain accurate spreadsheets, reports and administrative records.
- Strong written and verbal communication skills.
- Ability to manage several priorities simultaneously without losing attention to detail.
- Strong follow-through and ability to execute instructions accurately.
- Comfortable working independently and taking initiative.
- Ability to interact confidently with employees across different levels of an organisation.

ESSENTIAL REQUIREMENTS
- Valid Code 08 / Code B driver's licence.
- Own reliable vehicle.
- Willingness and ability to travel locally as required.
- Ideally residing within reasonable travelling distance of the East London, King William's Town or Kidd's Beach areas.
- Available to commence employment as soon as possible or within a short notice period.
