Role Overview

We are seeking a detail-oriented and organized Accounts Payable and Receivable Administrator to manage financial operations, payroll, insurance, and compliance-related tasks. The ideal candidate will ensure the accuracy and efficiency of financial transactions while supporting operational processes across multiple departments.

Key Responsibilities

Accounts Payable & Receivable:

  • Create and maintain accurate customer and supplier accounts.
  • Match and process accounts receivable payments.
  • Verify, process, and reconcile invoices in a timely manner.

Quotations & Invoicing:

  • Generate, import, and submit quotations for new installations via relevant portals.
  • Prepare, import, and submit invoices for new installations on client systems or portals.

Payroll Administration:

  • Process clock reports and prepare wages accurately and on schedule.

Insurance & Claims Management:

  • Handle insurance claims, ensuring all required documentation is submitted.
  • Process IOD (Injury on Duty) claims in compliance with company and legal policies.

Vehicle Licensing & Compliance:

  • Maintain accurate records of company vehicle licenses and ensure timely renewals and payments.

General Administration & Ad Hoc Projects:

  • Assist with ad hoc administrative and financial projects as required.
  • Provide support to other departments to ensure operational efficiency.

Qualifications and Skills

Education & Experience:

  • Diploma or certification in Accounting, Finance, or a related field.
  • Proven experience in accounts payable/receivable or a similar financial role.

Technical Skills:

  • Proficiency in accounting software (e.g., Pastel, QuickBooks) and MS Office Suite (Word, Excel).

Strong numerical and reconciliation skills.

Soft Skills:

  • High attention to detail and accuracy.
  • Effective communication and interpersonal abilities.
  • Strong organizational skills with the ability to prioritize tasks effectively.

Key Requirements

  • Familiarity with industry-specific financial systems is a plus.
  • Clear criminal record and ability to handle sensitive financial information.
