Property & Maintenance Manager

 Job Description:

The Property & Maintenance Manager will be responsible for the timeous execution of all aspects relating to the day-to-day operational functions of the properties owned by the Client and all subsidiaries.

Key Responsibilities:

  • Day-to-day property management of a portfolio of properties owned by the Client and its subsidiaries ("the Portfolio");
  • Managing all property maintenance requirements across the Portfolio;
  • Handling day-to-day tenant queries relating to building operations;
  • Managing all building contractors and suppliers working on the Portfolio;
  • Conducting all incoming and outgoing inspections when tenants move into or out of the Portfolio (in collaboration with the Leasing Manager(s), who will assist with ingoing inspections on new lets where required);
  • Managing and quality controlling tenant installations and approving payment authorisations prior to payments being processed by Head Office;
  • Ensuring all Portfolio plant and equipment are serviced within the required timeframes, within budget, and in accordance with annual service schedules;
  • Managing all supplier contracts (SLAs), including lifts, security, cleaning, and utility management, and ensuring delivery of services in accordance with agreed service levels;
  • Managing insurance claim processes on behalf of the Client;
  • Ensuring the Portfolio remains compliant with all applicable legislation at all times (including the OH&S Act), as well as managing ASIB-related insurance requirements;
  • Ensuring the Portfolio is maintained in a neat, clean, and good state of repair at all times;
  • Directly managing and training all maintenance managers, building managers, and parking management staff across the Portfolio;
  • Managing the preparation of all property-related creditor payments due by the Client and/or its subsidiaries in accordance with the approved credit control system;
  • Maintaining records of all annual service requirement items relating to the Portfolio (including fire, lift, and air-conditioning related items);
  • Ensuring timeous, courteous, and professional day-to-day communication with all tenants within the Portfolio;
  • Providing regular feedback to management on the status of the Portfolio and escalating any matters requiring urgent attention or intervention;
  • Ensuring proactive maintenance management is conducted across the Portfolio and advising management of areas that may present higher risk or require additional attention;
  • Ensuring all buildings are fitted with the correct disclaimer and indemnity signage at all times;
  • Providing various property and maintenance reports to the Group Operations & Maintenance Manager, Asset Manager, COO, and/or CEO as required;
  • Assisting with the preparation of the annual expense budget, controlling the monthly expense budget, and reporting on major budget variances (budget versus actual);
  • Preparing and executing supplier tender processes;
  • Working closely with the Acquisitions & Disposals Team, Lease Administration Team, and Portfolio Management Team when the REIT acquires new assets, to facilitate the take-on process and all related operational functions;
  • Ensuring a fair and robust procurement process to achieve the best possible pricing from suppliers;
  • Jointly managing all building floor plans, in collaboration with Portfolio Managers, Lease Administration Managers, and Leasing Managers, to ensure information remains accurate;
  • Performing all other duties reasonably expected by the Company in relation to the position of Property & Maintenance Manager;
  • Maintaining full compliance with the client's Employee Policy.
