Administrative Coordinator
Job Description:
- Checking the correctness of purchased items with the (Invoice/DO). Receiving goods and make an accurate inventory and keep it organized in the warehouse.
- Responsible for ensure accurate inventory list and issue of materials for supply.
- Supply office materials to relevant employees with records and arrange to purchase required materials regularly.
- Regular checking to types of material, quantities, stock balances in the warehouse.
- Preparing Movement Order Forms for office use for the staff travel according to business needs and liaise with the Finance Team to request advance expenses and claim the expenses.
- Proper preparation and maintenance the documents to submit on the SAP system for general expenses and responsible to cash withdrawals and deposits back to the finance team for
- cash balance.
- Responsible for maintaining fixed asset records for general equipment used by the department.
- Arranging car routes for the transportation of goods from highway terminals for district branches and departments.
- Arrange the vehicles usage for the department operations and maintain the necessary record.
- Arrange the systematic records to fuel purchase and consumption of generator fuel and make the expenses claim process with the finance team.
- Liaise with relevant departments for ferry and office uniforms arrangements for team members. Responsible for general maintenance procedures within the office building environment.
- Take record for office attendance and leave of the team members.
- Must be able to carry out for the day-to-day operations of the other Inventory related processes if necessary.
- Strong communication skills and able to communicate with employees on a regular basis effectively.
- Best service support to entire organization users and priority for customer satisfaction.
- Receiving phone calls and explaining operations process.
- Performs assigned duties and reports completion to Line Manager in a timely manner.
Job Requirements
- Bachelors degree. Must have understanding of Inventory operations flow, accounting knowledge and
- experience.
- Minimum 2 years of experience in administration, prefer Inventory and accounting knowledge.
- Account experiences about inventory system (computerized, listing and report) Microsoft Office, proper email usages and critical thinking upon time management. Ability to multi-tasking
- of office equipment using. (Printing, Scanning and etc;)
- Good communication and language skills.
