Virtual Assistant (ZR-304)
Job Description:
As a Virtual Assistant specializing in customer service for our custom printing business, you will play a crucial role in ensuring our customers receive exceptional support and assistance. Your primary responsibilities will include:
Customer Communication:
- Answering incoming calls from customers promptly and professionally.
- Responding to customer inquiries, concerns, and requests via email, chat, or other communication channels.
- Providing accurate and helpful information about our products, services, pricing, and order process.
Order Management:
- Assisting customers with placing orders, including guiding them through the customization options available.
- Processing orders accurately and efficiently using our internal systems.
- Tracking orders and providing updates to customers regarding the status of their orders.
Issue Resolution:
- Investigating and resolving customer complaints or issues in a timely and satisfactory manner.
- Collaborating with other departments, such as production and shipping, to address customer concerns and ensure smooth order fulfillment.
Daily Reporting:
- Generating daily reports summarizing customer interactions, order volumes, and any notable trends or feedback received.
- Providing insights and recommendations based on the data gathered to improve customer satisfaction and operational efficiency.
Administrative Support:
- Assisting with administrative tasks as needed, such as data entry, file management, and scheduling appointments.
- Supporting other team members and departments with various tasks to ensure the smooth operation of the business.
Requirements
- Proven experience in customer service or a related field, preferably in the print or design industry.
- Excellent communication skills, both written and verbal, with a friendly and professional demeanor.
- Strong problem-solving abilities and the ability to remain calm and composed under pressure.
- Proficiency in using communication tools such as email, phone systems, and live chat platforms.
- Attention to detail and accuracy in order processing and data entry.
- Ability to work independently with minimal supervision and manage time effectively.
- Proficiency in Microsoft Office Suite or similar software for generating reports and performing administrative tasks.
