We are looking for an Operations Associate to join our growing team, focusing on managing shipments for a B2B beauty products business sourcing internationally. The ideal candidate will be responsible for overseeing the end-to-end logistics of shipments, ensuring timely and cost-effective delivery, and maintaining excellent communication with suppliers, carriers, and internal teams. This role is based in Singapore and offers an exciting opportunity to be part of a fast-paced industry with a global reach.

Key Responsibilities:

Shipment Management:

  • Oversee and manage all aspects of shipments from international suppliers to our warehouse, ensuring timely and accurate deliveries.
  • Coordinate with freight forwarders, customs brokers, and shipping partners to optimize shipping routes, costs, and schedules.
  • Track and monitor shipment statuses and resolve any issues, delays, or discrepancies in real-time.
  • Ensure compliance with import/export regulations, including customs documentation, tariffs, and shipping requirements for beauty products.

Supplier Coordination:

  • Work closely with international suppliers to schedule shipments, ensure order accuracy, and maintain effective communication regarding shipment updates or issues.
  • Manage and update purchase orders, ensure proper packaging and labelling for compliance with both local and international standards.

Documentation & Reporting:

  • Maintain accurate records of all shipment details, including invoices, shipping confirmations, customs documentation, and tracking information.
  • Prepare and submit regular reports on shipment status, delivery performance, and logistics costs for internal stakeholders.

Inventory & Warehouse Coordination:

  • Collaborate with warehouse and inventory teams to ensure smooth receiving processes, and proper storage and handling of products once shipments arrive.
  • Ensure inventory levels are monitored, and products are distributed or transferred as per demand forecasts and sales orders.

Problem-Solving & Issue Resolution:

  • Identify and resolve shipping and logistics-related challenges, such as delays, missing goods, or damaged products.
  • Proactively communicate with internal teams to address any supply chain or delivery disruptions.

Cost Management:

  • Monitor and analyze shipment costs, seeking opportunities to reduce expenses while maintaining service quality.
  • Negotiate shipping rates and terms with freight providers to secure favorable agreements for the business.

Customer Support & Communication:

  • Assist customer service teams with inquiries related to shipment status, delivery issues, or product availability.
  • Maintain positive relationships with clients, ensuring high levels of satisfaction through efficient and effective logistics management.

Requirements:

  • Diploma in Business / Supply Chain or related discipline / GCE A Level or equivalent.
  • Minimum 2 years of experience in operations, logistics, or supply chain management, preferably in the B2B or beauty industry.
  • Familiarity with shipping software, inventory management systems, and MS Office
  • Understanding of Singapore's import/export regulations and international shipping protocols, especially for beauty products.
  • Strong analytical and troubleshooting skills to resolve shipping issues promptly.
  • Exceptional organizational skills and ability to handle multiple shipments simultaneously while maintaining high accuracy.
  • Required language(s): English, Mandarin is an added advantage for practicality and efficiency; daily communication with key markets and stakeholders i.e. documentation and work matters, resolve queries etc.)
  • Ability to interact professionally with international suppliers, logistics providers, and internal teams.
