Admin & Compliance Manager
Job Description:
Our client is seeking an experienced, efficient, and dependable Admin & Compliance Manager to lead the Operations and Administration function, reporting directly to the Managing Director/Founder.
Key Responsibilities:
Operations & Administration
- Companies & Funds: Assist with documentation for new company incorporations and fund setups; support ongoing maintenance; review subscription and redemption agreements; maintain books and records for companies and funds; manage fund subscriptions/redemptions; organize Board and Investment Committee meetings, minutes, and resolutions; oversee annual corporate secretarial updates.
- Banks & Brokerages: Assist the Manager in maintaining accounts with banks and brokerages, including account openings, handling bank queries, and preparing regular reviews.
- Information Technology: Oversee IT providers to implement security measures, backups, and website maintenance.
- Commercial: Manage the purchase and sale of real assets, maintain inventory records, and manage valuations.
- Customer Due Diligence: Support new client onboarding and existing client KYC/AML/CFT/SOW/SOF reviews; review transactional flows based on risk assessment.
- Reporting: Prepare and submit regular reports to regulators (e.g., MAS, CIMA, BVIFSC) and authorities (e.g., CRS, FATCA, ES).
- Operational Excellence:
- Develop, maintain, and enforce a comprehensive risk management framework aligned with regulatory requirements, internal policies, and industry best practices.
- Monitor regulatory updates, assess potential risks, and implement proactive strategies to ensure operational resilience and excellence.
- Conduct internal compliance training and oversee the staff training schedule.
Requirements:
- Experience in operational administration of companies.
- Diploma or Degree in Business or Accounting.
- 3-5 years of experience in Administration and Operations; experience in Regulatory Compliance and Internal Audit is a plus.
- Meticulous, detail-oriented, and accurate.
- Proactive in anticipating, troubleshooting, and escalating client and product needs/issues.
- Strong team player with a willingness to assist colleagues.
- High sense of urgency with excellent time management and prioritization skills.
