Job Summary:
This role is focused on the coordination of project processes, activities, and budgets in support of design engineering and new product development. It also includes project coordination, financial tracking and reporting, and invoicing. It collects, creates, and manages technical support materials such as product and program data packs.
Job Responsibilities:
- Order entire project fulfilment process in ERP System IFS7.5, including project registration, procurement, acceptance of inbound products, delivery of goods to customers, billing customers, and project closure.
- Liaise with suppliers on quotations, PO issuance, and invoice closing with finance team.
- Maintain accurate records of inbound and outbound shipments and manage disputes as needed.
- Ensuring that all orders are completed on time and according to customer specifications, while keeping costs, quality, and delivery under control.
- Actively lead any follow-up required to troubleshoot processing difficulties as they arise.
- Communicate clearly with clients about any changes to orders, site inspection dates, non-conformance management items, delivery concerns, and so on.
- Scheduling and managing inbound and outbound shipments.
- Collaborate with the Line Manager to generate reports as needed by the circumstance.
- Uses a number of computer applications, such as Microsoft Adobe, to organize and prepare complex papers.
- Data collection and summarization for special reports is the responsibility of this position.
- Assigns short-term work schedules to workload in order to meet the expectations of various stakeholders and internal customers.
- Develops, administers, and efficiently employs a local document management system for an office or department.
- Creates and maintains high-quality technical and/or user documentation, ensuring appropriate and effective language use and on-time delivery.
- Creates backup files to facilitate immediate recovery if difficulties arise.
- Creates standard project plans; monitors and reports progress against plans; and provides stakeholders with accurate and relevant information to enable decision making at agreed-upon project review points, such as new product development stage gate reviews and post-project reviews to identify lessons learned.
- Executes delegated tasks to assist in the discovery and evaluation of risks, issues, dependencies, and restrictions associated with each project. Ensures that mitigating measures are incorporated into project plans and that the impact of such solutions is appropriately recorded.
- Manages procurement and system orders; transmits bill of materials requirements accurately to applicable systems.
- Compiles accurate and timely financial data to support engineering project monitoring and review processes; tracks and reports on capex cost, ensuring any overspend is discovered early and correctly reported.
- Assists the Engineering leadership team with general administration; organizes diaries, including booking, tracking, and reporting on travel spend; and performs any other tasks/projects as assigned by the line manager from time to time.
