Job Description:

We are seeking a highly organized and detail-oriented Company Secretary to join our team at XAD Technologies LLC. As the Company Secretary, you will be responsible for ensuring the smooth and efficient operation of our company by providing administrative and secretarial support to our management team.

Key Responsibilities:

  • Act as the primary point of contact for all administrative and secretarial matters within the company.
  • Organize and maintain company records, including legal documents, contracts, and other important files.
  • Prepare and distribute meeting agendas, take minutes, and maintain accurate records of all company meetings.
  • Coordinate and schedule meetings, appointments, and travel arrangements for the management team.
  • Assist in preparing reports, presentations, and other documents as needed.
  • Liaise with external stakeholders, such as lawyers, auditors, and government agencies, on behalf of the company.
  • Ensure compliance with all legal and regulatory requirements and maintain up-to-date knowledge of relevant laws and regulations.
  • Handle all correspondence, both internal and external, in a timely and professional manner.
  • Maintain confidentiality of all sensitive information and documents.

Qualifications:

  • Bachelor's degree in Business Administration, Law, or a related field.
  • Minimum of 3 years of experience as a Company Secretary or in a similar role preferably in the UAE market.
  • Strong knowledge of corporate governance and legal procedures.
  • Excellent communication and interpersonal skills.
  • Proficient in MS Office and other relevant software.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and strong organizational skills.
  • Fluent in English, both written and spoken.
