About the job Construction Data Entry Specialist | QuickBooks Desktop
We are seeking a detail-oriented Construction Data Entry Specialist to support a general contractor with project-related data entry, vendor invoices, estimates, purchase orders, and documentation.
This role requires someone who can understand construction estimates and invoices, identify line items correctly, and enter them accurately into QuickBooks Desktop. This is not basic data entry. The candidate must be able to read vendor estimates/invoices, understand what the charges are for, and match them to the correct project, purchase order, sales order, or cost item.
Responsibilities
- Enter vendor estimates, purchase orders, and invoices into QuickBooks Desktop
- Review construction estimates and invoices to understand line items, services, percentages, and job-related charges
- Match vendor invoices against approved estimates, purchase orders, and project sales orders
- Identify whether invoice items should be entered as one item, multiple items, percentage billing, or a change order
- Attach supporting documents in QuickBooks and organize files in OneDrive
- Update tasks in Asana for project manager review
- Communicate with vendors by email to request missing estimates, updated insurance documents, or invoice clarification
- Assist with basic Excel or Google Sheets reports as needed
Requirements
- Experience with construction-related invoices, estimates, purchase orders, or project billing
- Strong ability to read and understand vendor estimates and invoice line items
- QuickBooks Desktop experience preferred, but QuickBooks Online experience may also be considered
- Basic understanding of construction services, subcontractors, cost items, and project billing
- Strong attention to detail and accuracy
- Able to work independently and use common sense when reviewing documents
- Comfortable with email communication
- Experience with Asana, OneDrive, Excel, or Google Sheets is a plus
- No phone calls required
Ideal Candidate
The ideal candidate has worked with a construction company, contractor, subcontractor, or construction bookkeeping team and understands that vendor invoices are not always simple or consistent. They can review the details, identify what the charges are for, and enter them correctly instead of just copying information blindly.
