About the Role

The Medical Office Administrative Assistant will serve as the first point of contact for many patient interactions. Responsibilities include answering and returning calls, documenting information, scheduling follow-up appointments, updating patient records, and ensuring that all communication is handled professionally and accurately.

This position requires someone who is comfortable spending much of the day on the phone while managing multiple administrative tasks.

Key Responsibilities

  • Answer incoming patient phone calls professionally
  • Return voicemails and follow up with patients
  • Schedule appointments and future follow-up visits
  • Document patient conversations accurately in the system
  • Update patient records and administrative information
  • Route messages to the appropriate medical staff
  • Assist with general administrative and office support tasks
  • Follow established procedures while maintaining confidentiality
  • Maintain accurate documentation and organized records

Requirements

  • Excellent spoken and written English
  • Clear, professional and emphetic phone communication
  • Previous administrative, customer service, or medical office experience preferred
  • Comfortable handling a high volume of phone calls
  • Strong attention to detail and documentation accuracy
  • Good computer skills and ability to learn new software
  • Organized and able to multitask
  • Professional, dependable, and patient-focused
  • Able to work US business hours
  • Experience with EMR/EHR or medical practice management software
