Operations & Logistics Coordinator

About the Role

We are hiring an Operations & Logistics Coordinator to support purchasing, inventory, shipping, warehouse coordination, and vendor follow-up for a beauty products company selling through e-commerce and retail channels.

This is a hands-on coordination role for someone who is organized, detail-oriented, and comfortable managing multiple moving parts.

Responsibilities

Purchasing

• Create and track purchase orders with suppliers.
• Monitor stock levels and flag reorder points before inventory runs low.
• Compare supplier quotes.
• Follow up on pricing, availability, and order confirmations.
• Maintain accurate purchasing records.

Logistics & Shipping

• Coordinate inbound and outbound shipments with freight forwarders and carriers.
• Track shipments from pickup through final delivery.
• Follow up on shipping delays, customs issues, damaged shipments, and discrepancies.
• Prepare and verify invoices, packing lists, shipping labels, and related documents.

Inventory & Warehouse Coordination

• Monitor inventory across warehouse locations.
• Coordinate receiving, inventory transfers, and cycle counts with warehouse teams and 3PLs.
• Investigate and follow up on inventory discrepancies.
• Keep inventory records accurate and up to date.

Vendor & 3PL Coordination

• Serve as a day-to-day contact for suppliers, freight partners, warehouses, and 3PL providers.
• Track vendor lead times, order accuracy, and pricing.
• Follow up on issues and escalate when needed.
• Maintain organized vendor records, contracts, and pricing sheets.

Requirements

• Previous experience in operations, purchasing, logistics, supply chain, or inventory coordination.
• Strong attention to detail with the ability to catch SKU, quantity, pricing, and documentation errors.
• Strong written and verbal English communication.
• Comfortable communicating with vendors and coordinating across multiple teams.
• Proficient with Google Sheets or Microsoft Excel.
• Comfortable learning new systems and tools.
• Organized, reliable, and able to follow through without constant supervision.
• Reliable internet connection and professional remote work setup.

Preferred Experience

• E-commerce operations.
• Amazon FBA or Seller Central.
• 3PL and warehouse coordination.
• Retail or wholesale order fulfillment for chain retailers or distributors.
• Inventory management or ERP software.
• Beauty, cosmetics, consumer products, or CPG.
