Job Summary:
We are seeking an experienced Operations Manager to oversee and streamline our company's day-to-day activities. The ideal candidate will be responsible for managing the overall operations to ensure efficiency, productivity, and quality in all aspects of the business. This role requires a strategic thinker with strong leadership skills who can drive continuous improvement across departments.
Key Responsibilities:
- Provide high-level admin support to the Executive team, including calendar management, and scheduling meetings.
- Oversee daily operations and ensure all processes align with company goals.
- Prepare agendas, take minutes, and follow up on action items from meetings.
- Help onboard new team members.
- Send out monthly client NPS.
- Prepare welcome, birthday and anniversary gifts for team members.
- Publish posts on our website / social media accounts.
- Email weekly newsletter to clients.
- First line of system support when team members have hardware problems.
- Allocate new leads to Mentors, updating all details in our WizeHub system.
- Act as the primary point of contact between Executive team and clients.
- Develop and implement operational policies and procedures.
- Monitor and report on key performance indicators (KPIs) to Executive team.
- Facilitate training and development programs to enhance team capabilities.
- Organise company events and conferences, ensuring all logistics are managed effectively.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Coordinate with different departments to improve operational efficiency.
- Identify opportunities for process improvements and cost reductions.
- Complete Bookkeeping, payroll and activity statements for the company.
- Month-end reconciliations.
- Help set our companys financial budget.
- Prepare year-end tax calculations.
Qualifications:
- 5+ years of experience in operations management or a similar role.
- Proven leadership and team management skills.
- Strong problem-solving abilities and analytical skills.
- Excellent communication and organizational skills, both written and verbal.
- Advanced Excel skills and other Microsoft office skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
