Position Summary:

The Administrative Assistant is essential to maintaining the seamless operation of our firm. This role includes a variety of administrative and clerical tasks to support both our accounting team and clients. The ideal candidate will be detail-oriented, have strong communication skills, and excel at managing multiple tasks effectively.

Key Responsibilities:

  • Provide daily administrative support to the accounting team, including managing calendars, scheduling appointments, and coordinating meetings.
  • Act as the primary point of contact for clients, professionally handling phone calls and emails.
  • Organize and maintain client files, records, and documentation, ensuring confidentiality and adherence to firm policies.
  • Accurately input and update client information, financial data, and other records in the firms database and accounting software.
  • Prepare and distribute internal and external communications, such as invoices, emails, and newsletters.
  • Assist with special projects and initiatives, including research, data collection, and report preparation, as needed.

Skills:

  • Minimum of 2 years of administrative experience, preferably in an accounting or financial services environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with Xero accounting software is advantageous.
  • Excellent organisational and time management skills.
  • Strong verbal and written communication abilities.
  • Attention to detail and accuracy.
  • Ability to handle sensitive and confidential information with discretion.
  • Customer service-oriented mindset.
