We are seeking a highly organized and proactive Executive Administrative Assistant for the Executive level to provide essential administrative support and ensure the smooth operation. The successful candidate will be responsible for managing scheduling, follow-ups, and arrangements, while adhering to high standards of professionalism and confidentiality. Training and guidance will be provided, so prior experience in specific tasks is not required, but a strong aptitude for administrative work is essential.

Key Responsibilities:

  • Efficiently manage the Executive's calendar, including scheduling meetings, appointments, and travel arrangements. Ensure optimal time management and resolve any scheduling conflicts promptly.
  • Track and follow up on action items and deadlines from meetings. Ensure timely responses and completion of tasks assigned by the executives.
  • Coordinate logistics for meetings, events, and conferences. Arrange for necessary materials, catering, and other requirements as needed.
  • Act as the primary point of contact for internal and external communications with the executives. Handle correspondence, phone calls, and emails professionally and confidentially.
  • Prepare and organize documents, reports, and presentations as required. Maintain accurate records and files.
  • Perform general administrative duties including data entry, office management, and other tasks as directed by the executives.

Requirements:

  • Fluency in English is required
  • Excellent organizational and time management skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Strong verbal and written communication skills. Ability to interact professionally with all levels of staff and external stakeholders.
  • High level of accuracy and attention to detail in all aspects of work.
  • Ability to anticipate needs and take initiative without requiring constant supervision.
  • Strong understanding of confidentiality and discretion in handling sensitive information.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with scheduling tools.
  • Willingness to learn and adapt to new processes and tools. Previous administrative experience is a plus, but not required. A positive attitude and willingness to learn are more important.
