Data Privacy Notice for Job Applicants
Wilcon Depot, Inc. (the Company), as a corporation duly organized and existing under and by virtue of the laws of the Republic of the Philippines, a publicly listed corporation and in furtherance of the principles of corporate responsibility and good governance is mandated to comply with the Data Privacy Act of 2012.
The Company is fully aware of its mandate and duties to its job applicants (data subjects) and takes the compliance to the DPA of 2012 and its IRR seriously.
For this purpose, the Company has set this Data Privacy Notice for Job Applicants as guiding principles that will help the data subjects understand how the Company collects, uses, stores and protects the personal data entrusted to it.
The term data subjects refers to job applicants.

PURPOSE/PROCESSING OF PERSONAL DATA
The Company collects, gathers and processes personal data of job applicants for the following purposes:
- Validation and verification of personal data provided for possible employment or promotion;
- Management of employment contract;
- Compliance of employer’s obligations under the law;
- Keeping of record of employee performance and related processes to plan for career development, and for succession planning; and
- Workforce management purposes
PROTECTION MEASURES
Only the Human Resources Department and its Recruitment Division have the authority to process, use and access the personal data collected from the data subjects. Personal data collected via electronic means are stored in a well-maintained database managed by the Company’s system expert while physical data are stored in locked filing cabinets monitored by CCTV cameras.
The Company processes personal data within the Philippines only. Should there be a need to transfer personal data in another country, the Company shall comply with relevant laws and regulations and shall ensure that personal data are protected and covered by a data sharing agreement in accordance with relevant laws and regulations including the DPA and its IRR.
Access and Correction
The accuracy and correctness of any personal data provided shall be the responsibility of the data subjects as well as the consequences for failure to disclose the correct and updated personal data to the Company.
In accordance with the DPA and its IRR, data subjects have the right to access or ask for a copy of any personal data submitted to the Company and request for it to be corrected and/or updated. Should the data subjects wish to obtain a hard copy or printout of his/her personal data, any expenses in relation thereto shall be for the data subjects’ account.
To correct and/or update personal data, data subjects may contact the Company’s Human Resources Department and its Recruitment Division.
In the event that correcting or updating of personal data is not possible due to legal and technical reasons, the Company will contact the data subject and explain the reason/s thereof.
Filing of Complaint
Pursuant to DPA and its IRR, data subject has the right to file a complaint should there be any violation of his/her data privacy rights.
Retention Period
Personal data of unsuccessful job applicants are disposed of and destroyed after three (3) months or upon the request of the job applicant whichever comes first. Personal data of hired applicants shall be retained by the Company and shall be disposed of and destroyed after six (6) years from separation, resignation, or retirement. Documents containing personal data of employees shall be shredded and those provided to the Company via email, app, or electronically shall be deleted from the Company’s database permanently.
The Company may retain the name, position, and year of employment or service to the company as part of his/her employment history.
