Administrative Officer
About the job Administrative Officer
- Prepare accounting documents as assigned. (This covers basic accounting tasks.)
- Act as a liaison, coordinating between all parties, both internal and external to the company. (This emphasizes communication and coordination.)
- Resolve basic customer issues and answer their questions regarding work processes and the use of company systems. (This is front-line customer support.)
- Troubleshoot immediate problems to ensure smooth operations for the team, in accordance with company standards. (This shows responsiveness and adherence to procedures.)
- Coordinate with system administrators to resolve in-depth, system-related problems. (Escalating technical issues when needed.)
- Monitor orders, identifying any pending deliveries or SLA breaches, and investigate the causes of any delays.(Order tracking and problem-solving.)
- Verify stock accuracy and investigate any discrepancies thoroughly. (Inventory management and control.)
- Coordinate with customers to schedule product intake/delivery. (Arranging logistics with customers.)
- Check the status of incoming products in the system for accuracy and any pending items. (Data entry and system monitoring.)
- Gather customer needs and coordinate with internal teams. If a service is not yet available, communicate this to the customer. (Needs assessment, internal communication, and managing expectations.)
Qualifications:
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.Proven experience as an Administrative Officer or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.Strong organizational and time management skills.Ability to work independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information.
