Payroll Specialist
Job Description:
LATAM Partners is seeking a Payroll Specialist to manage and oversee payroll operations for a company based in Oregon, United States, while working from our offices in Guadalajara, Jalisco. This role requires strong experience in payroll processing, attention to compliance, and direct communication with the U.S.-based client to ensure accurate and timely payroll execution. The ideal candidate is detail-oriented, experienced, and confident using payroll platforms such as QuickBooks, Gusto, or Xero.
Role and Responsibilities
- Process Payroll: Prepare and execute weekly/biweekly payroll cycles, including salary calculations, deductions, hours worked, and benefits.
- Maintain Employee Records: Keep employee information updated, including tax forms, banking details, and benefit data.
- Ensure Compliance: Guarantee compliance with U.S. labor and tax regulations, including filings with the IRS and other relevant agencies.
- Generate Payroll Reports: Create detailed payroll reports, including individual summaries, payroll cost breakdowns, and tax withholdings.
- Support Audits: Organize and maintain payroll records in preparation for internal and external audits.
- Client Communication: Serve as the main point of contact for payroll-related inquiries, ensuring professional and timely responses.
- Team Collaboration: Coordinate with the accounting team to ensure alignment across financial operations.
- Software Management: Utilize tools such as QuickBooks, Gusto, Xero, or equivalent platforms to maintain accurate payroll data.
- Continuous Improvement: Identify and recommend improvements to increase payroll accuracy, speed, and compliance.
Qualifications
- Education: Bachelors degree in Accounting, Finance, Business Administration, or a related field.
- Experience: Minimum of 3 years in payroll processing, preferably for U.S.-based clients.
- Technical Skills: Proficiency in QuickBooks, Gusto, Xero, or similar payroll platforms. Advanced Excel and Microsoft Office skills.
- Regulatory Knowledge: Familiarity with U.S. payroll, tax, and labor regulations is highly desirable.
- Attention to Detail: Strong organizational skills with a high level of accuracy in payroll calculations and documentation.
- Communication Skills: Advanced English proficiency (written and spoken) to interact effectively with U.S.-based clients.
- Time Management: Ability to manage multiple deadlines, especially around critical payroll periods.
- Professionalism: Strong ethics, discretion, and accountability in handling sensitive payroll data.
