Executive Assistant

 Job Description:

Overview: 

LATAM Partners is seeking a highly organized and proactive Executive Assistant to support Arellano Law Firm, a U.S.-based legal practice, from our offices in Guadalajara. This role requires strong administrative skills, excellent communication abilities, and fluency in English and Spanish. The ideal candidate will provide high-level support to the firm's Partner, ensuring smooth day-to-day operations and efficient case management. 

Key Responsibilities: 

  1. Administrative Support: 
    
    Manage schedules, appointments, and meetings
    
    Prepare and organize legal documents, reports, and correspondence.
    
    Conduct legal research and compile case-related information. 
    
  2. Case & Client Management:
    
    
    Maintain and update client records and case files.
    
    Coordinate communication between attorneys, clients, and external parties.
    
    Assist in drafting legal documents. 
    
  3. Operations & Office Management: 
    
    Handle confidential legal and business documents with discretion. 
    
  4. Communication & Liaison: 
    
    Coordinate travel arrangements and event planning for firm executives. 
    
  5. Legal Research & Support: 
    
    Conduct preliminary research on legal matters as directed.
    
    Assist in drafting and filing legal documents.
    
    Ensure compliance with court deadlines and filings. 

Requirements: 

Education: 

  • Bachelor's degree in Law, Business Administration, or related field. 

Experience: 

  • At least 3 years of experience as an Executive Assistant, Legal Assistant, or similar role. 
  • Experience in a U.S.-based law firm or legal department preferred. 

Technical Skills: 

  • Proficiency in Microsoft Office Suite, legal case management software, and document management systems. 
  • Familiarity with U.S. legal terminology and procedures. 

Language Skills: 

  • Fluency in both English and Spanish (written and spoken). 

Soft Skills: 

  • Excellent organizational and time-management skills. 
  • Strong attention to detail and ability to handle confidential information. 
  • Ability to work independently and prioritize tasks effectively.
