LATAM Partners is seeking an Administrator to work for a Hillsboro, Oregon-based construction company, Skyview Remodeling, from our offices in Guadalajara. The Administrator will be responsible for managing office operations, coordinating administrative tasks, and supporting project teams to ensure the smooth execution of construction projects.
Role and Responsibilities:
- Oversee day-to-day administrative operations, including document control, scheduling, and communication management.
- Assist project managers and supervisors with administrative support related to contracts, permits, and compliance documentation.
- Maintain accurate financial records, process invoices, and track expenses related to construction projects.
- Coordinate with suppliers, vendors, and subcontractors to manage orders, deliveries, and payments.
- Ensure that all documents and records comply with U.S. construction industry standards and regulations.
- Organize and maintain digital and physical records, including project files, employee documentation, and vendor contracts.
- Facilitate communication between the Hillsboro, Oregon-based team and LATAM Partners' office in Guadalajara.
- Manage payroll processing and employee records, ensuring timely and accurate payments.
- Monitor and improve office procedures to enhance efficiency and productivity.
- Support HR-related tasks such as onboarding new employees and coordinating training sessions.
Qualifications:
- Bachelor's degree in Business Administration, Construction Management, or a related field (or equivalent experience).
- Proven experience in administrative roles within the construction industry, with at least 3 years of experience in administration and construction.
- Strong knowledge of office management systems, accounting principles, and financial tracking.
- Proficiency in office software, including Microsoft Office Suite (Excel, Word, Outlook) and construction-related tools such as Procore or QuickBooks (preferred).
- Understanding of U.S. construction industry standards and administrative processes.
- Desired English Level: B2-C1 to effectively communicate with the Hillsboro, Oregon-based team and vendors.
- Excellent organizational and time-management skills with strong attention to detail.
- Ability to multitask and work under tight deadlines.
