We are looking for an Executive Assistant to the Engagement partner

Role: Engagement Concierge/Executive Assistant
Set-up: Hybrid/WFH (Pasig or Taguig site)
Schedule: 8:30 pm to 5:30 am 
Salary: up to 46k basic

POSITION / ROLE SUMMARY

As part of Internal Firm Services, the Engagement Concierge (EC) team gives the opportunity to provide administrative support to US employees while working remotely. REPORTING

This position will report to the Virtual Concierge Supervisor.

WHAT'S IN IT FOR YOU

This role will allow you to apply and expand your customer service skills as well as efficiency and flexibility as a virtual concierge professional in a fast-paced, remote set-up. You would also get the opportunity to collaborate and work closely with Executives and teams in the US, coming from different lines of services and functions, as the need for virtual concierge, spans across the lines of services in the firm.

KEY RESPONSIBILITIES

Create and update invoices and billings.
Drafting of credit memos and expense reports as well as billing research.

Generate various accounting (hours, time, and expenses) reports through the eGFS tool.

Perform travel management-related tasks such as domestic and international bookings as well as updating and cancellations of bookings.

Arrange travel accommodation requirements.

Perform time and expense transfers (revenue allocation) and role changes in the engage tool.

Perform other engagement maintenance-related tasks such as performance variance, partial/full zero clear, code closures, and accounts payable adjustments.

Perform self-review of all deliverables.

Work simultaneously on multiple tasks and projects.

Must be able to work with tight deadlines.



QUALIFICATION REQUIREMENTS


Educational Background: Bachelor's degree or similar in office management, tourism management, administrative support, or related discipline

Essential Requirements Work Experience:

Senior Analyst grade (2 - 3 years)
Digitally upskilled. Must possess a strong working knowledge of the following applications consistent with firm standards:
MS Office applications, particularly PowerPoint and
Word
Google Suite applications, particularly Slide and Doc
Effective verbal and written communication skills
Attention to detail
Strong Customer Service

Preferred Experience /
Skills

Proven experience as an executive assistant or other relevant
administrative support experience.
Demonstrate some abilities and/or proven record of success
in identifying and addressing client needs:
responding to clients' requests promptly and
professionally readily offering assistance contributing to a positive, collaborative working environment proactively seeking instruction, feedback, and coaching to improve performance

Strong organizational skills that reflect the ability to perform and
prioritize multiple tasks seamlessly with excellent attention to
detail.
