Setting: In-Person | Concierge Healthcare / Outpatient Clinic
Schedule: Monday–Thursday: 8:30 AM – 6:00 PM | Friday: 9:00 AM – 1:00 PM
Compensation: $20–$26/hour base pay + bonuses & commissions
On-Target Earnings: $55,000–$80,000+ annually

WellTech Partners is partnering with a specialized boutique healthcare practice in Houston, TX to hire a high-performing Conversion Specialist and Operations Coordinator. This is a patient-facing inside sales and operations role designed for someone who thrives in fast-paced environments, communicates confidently, and takes ownership of outcomes.

This is not a passive front desk, receptionist, or task-only administrative position. The ideal candidate is comfortable leading conversations, discussing pricing, overcoming objections, and confidently guiding prospective patients toward scheduling evaluations and beginning treatment. This role requires operational maturity, independent judgment, emotional intelligence, and the ability to think critically in real time without constant supervision.

Position Overview

As the Conversion Specialist and Operations Coordinator, you will serve as the first and most important point of contact for prospective patients and play a critical role in both patient experience and clinic growth. Your primary objective is to convert inbound inquiries into committed, paid patient evaluations by building trust, educating patients on the clinic's concierge care model, and guiding them confidently through the enrollment process.

The right candidate is persuasive, organized, professional, detail-oriented, and comfortable asking for commitment while maintaining a compassionate and supportive patient experience. This position directly impacts patient access to care, clinic revenue, and long-term growth.

Key Responsibilities

Patient Conversion & Enrollment

Respond promptly and professionally to inbound calls, texts, emails, website inquiries, and social media messages
Convert inquiries into booked and paid patient evaluations, often during the first interaction
Build rapport, trust, and psychological safety quickly with prospective patients experiencing sensitive pelvic health concerns
Lead emotionally intelligent conversations that help patients feel understood and supported
Clearly explain services, expected outcomes, pricing, and next steps
Confidently present pricing and payment options without hesitation
Guide patients toward scheduling their initial evaluation and future care plan
Secure evaluation deposits during the initial interaction whenever appropriate
Address objections, concerns, and hesitation in real time
Follow up consistently with warm leads and pending decisions until they schedule or formally decline services

Patient Education & Payment Discussions

Educate prospective patients on the clinic's concierge, self-pay care model using approved messaging
Clearly explain the value of one-on-one, specialized pelvic health treatment without insurance-driven restrictions
Discuss accepted payment methods, including credit/debit cards, HSA, FSA, and clinic gift cards
Explain out-of-network reimbursement processes and superbill availability when appropriate
Ensure patients fully understand treatment expectations, pricing, and the enrollment process

Lead Management & Operations

Maintain accurate lead tracking, scheduling, patient documentation, and follow-up records
Manage multiple patient conversations and follow-up pipelines efficiently
Maintain ownership of the conversion pipeline from initial inquiry through enrollment
Operate independently while maintaining exceptional attention to detail and professionalism
Collaborate with the clinical team to ensure a smooth onboarding experience for new patients
Follow established systems, workflows, scripts, and communication protocols consistently

Referral & Relationship Development

Build and maintain relationships with referring providers and community partners
Thank referral sources for patient referrals and maintain ongoing communication
Proactively request additional referrals through relationship-based outreach
Represent the clinic professionally as a trusted pelvic health resource within the community
Support ongoing referral growth and business development initiatives

Performance Expectations

Success in this role is measured by:

Inquiry-to-evaluation conversion rate
Number of booked and paid evaluations
Deposit collection rate
Follow-up completion rate
Referral source engagement activity
Overall contribution to patient enrollment and clinic growth

Qualifications

Required:

  • Minimum 2 years of inside sales, healthcare sales, patient enrollment, medical intake, or high-conversion customer service experience
  • Strong phone communication and interpersonal skills
  • High emotional intelligence and ability to build trust quickly
  • Comfortable discussing pricing, collecting deposits, and guiding financial conversations
  • Highly organized with strong multitasking abilities
  • Ability to commute daily to Houston, TX
  • Self-motivated, results-oriented, and confident leading conversations toward commitment
  • Strong ownership mentality with the ability to take responsibility for outcomes
  • Ability to follow systems, templates, and written workflows accurately

Preferred:

  • Healthcare, medical, or wellness sales experience
  • Experience working in concierge or cash-based healthcare environments
  • Familiarity with CRM or scheduling systems
  • Bilingual English/Spanish
  • Associate degree preferred
