RECRUITMENT PRIVACY POLICY

1. Introduction
This Recruitment Privacy Policy (“Policy”) outlines how Windhoek Consulting Engineers (“the Company”) collects, processes, stores, shares, and protects personal information provided by individuals (“Applicants”) during the recruitment process. By submitting an application, the Applicant consents to the processing of personal data in accordance with this Policy.

2.1. The Company may collect and process the following personal information during the recruitment process:

b. Identification documents and verification data;
c. Curriculum Vitae, cover letter, qualifications, and academic transcripts;
d. Employment history, references, and skills;
e. Assessment and psychometric test results;
f. Notes from interviews and communications;
g. Background checks, where legally permitted.

3. Purpose of Data Processing
3.1. Personal data is collected and processed for the following purposes:
a. To assess suitability for employment;
b. To verify credentials and qualifications;
c. To contact Applicants about vacancies and recruitment status;
d. To conduct evaluations, assessments, and interviews;
e. To comply with legal obligations;
f. To retain candidate profiles for future opportunities unless instructed otherwise.

4. Use of Third-Party Service Providers
4.1. The Company may use third-party recruitment platforms, background check agencies, or assessment software providers to process Applicant information.
4.2. These third parties are subject to confidentiality and data protection obligations and will only process information as instructed by the Company.

5. Data Retention
5.1. Applicant data will be retained for a period of up to 12 months after the recruitment process concludes, unless a longer period is required by law or the Applicant requests deletion.
5.2. Where the Applicant is appointed to a role, their data will be retained in accordance with the Company’s Employee Data Retention Policy.

6. Confidentiality and Security
6.1. The Company implements appropriate administrative, technical, and physical safeguards to ensure that Applicant data is protected against unauthorised access, disclosure, or alteration.
6.2. Only authorised personnel and third parties with a legitimate recruitment-related purpose have access to Applicant information.

7. Applicant Rights
7.1. Applicants have the right to:
a. Request access to their personal data;
b. Request correction of inaccurate or outdated information;
c. Withdraw consent at any stage, subject to legal or operational limitations;
d. Request deletion of data, where applicable.

8. Legal Compliance
The Company shall process personal information in compliance with applicable laws of the Republic of Namibia, including any data protection and privacy legislation in force.
