Executive Operations Manager
Job Description:
Our client, a rapidly growing AI startup, is seeking an Executive Operations Manager (Executive Assistant) to support its founders and ensure the business operates with precision and efficiency. This role is ideal for someone who is highly organized, proactive, detail-obsessed, and energized by fast-paced, high-accountability environments. In addition to executive support, this person will help build foundational operational systems for office management, onboarding, events, and vendor coordination opportunity to grow into broader People, Operations, or BizOps responsibilities.
What You'll Do
- Serve as a strategic partner to the founders, managing calendars, inboxes, scheduling, prioritization, and external communications.
- Oversee office operations, including building out a new workspace, coordinating vendors, and managing budgets.
- Plan and manage meetings, travel, off-sites, and internal/external events.
- Track deliverables, deadlines, and cross-functional initiatives to ensure execution and follow-through.
- Support onboarding, internal communications, and company culture-building initiatives.
- Take on additional operations, HR, or administrative projects with a no task too small mindset.
What Were Looking For
- 5+ years supporting senior executives in fast-paced, high-performance environments.
- Experience in professional services, high-growth startups, or founder-level support (MBB, BigLaw, PE/IB).
- Proven ability to manage complex schedules, competing priorities, confidential information, and time-sensitive requests.
- Strong communication, writing, organization, and stakeholder management skills.
- Demonstrated ownership, comfortable taking initiative, anticipating needs, and solving problems independently.
- Experience planning events, managing office logistics, or owning operational projects.
- Tech-savvy and comfortable adopting productivity tools, scheduling systems, and workflow automation.
