Parts Supervisor (Workshop Counter)

The Role

The main purpose of a Parts Supervisor (Workshop Counter) is to effectively support the operations and the members of the parts team within the workshop. Whilst this is undertaken also maintain a level of service to the workshop including but not limited to stock levels and ordering processes.

Key Responsibilities

Daily Tasks

  • Process and assist VHC upsell by identifying correct parts and tagging them within the WIP using the DMS VHC System.
  • Ensure the smooth operation of the Workshop by ensuring pre-picks are more than 3 days ahead for booked work.
  • Ensure parts are identified at the request of the technicians accurately and entered onto the WIP in a timely manner.
  • Ensure order deadlines are met for Workshop Jobs also ensuring parts are ordered with the correct status for the timeframes required.
  • Consistently identify low stock items which will have a negative impact on Workshop performance if allowed to run out. Ensure these are at an adequate stock level.
  • Operate your working area within the companies Health and Safety / cleanliness acceptable levels.
  • Quickly identify when parts delays will affect the Workshop performance and notify Management.
  • Locate stock delivered in an accurate manner including special orders into their locations.
  • Actions returns to Hub for ICT and return of Manufacturer parts.

Weekly Tasks

  • Review your work in progress for all departments to ensure nothing is older than 30 days.
  • Ensure Warehouse aisles are clear and stock is adequately located.
  • Execute parts chases on backordered parts and obtain accurate and up to date ETAs. Then notify key people.
  • Discuss with the service department needs for forthcoming weeks.
  • Review the special order shelves and provide a comprehensive list of vehicles that need booking due to parts awaiting fitment.
  • Collating and processing warranty returns and organizing disposal of over-age displaced parts.

Monthly Tasks

  • Review long term issues with service and escalate appropriately.
  • Review stock levels for newly identified lines and discuss with line manager.
  • Review monthly performance with line manager.
