Job Overview:

We are seeking a detail-oriented and highly organized Healthcare Virtual Assistant to support healthcare professionals with administrative tasks, patient coordination, and medical data management. The ideal candidate has experience in the healthcare industry, is familiar with HIPAA compliance, and can efficiently manage medical records, insurance claims, and appointment scheduling. This is a fully remote position requiring strong communication and organizational skills.

Key Responsibilities:

1. Administrative & Patient Support

  • Manage emails, phone calls, and appointment scheduling for healthcare providers
  • Verify patient information and update medical records
  • Assist with telehealth coordination and virtual consultations
  • Handle prescription refill requests and patient inquiries
  • Follow up with patients regarding appointments, test results, and billing inquiries

2. Medical Documentation & Data Entry

  • Accurately input and maintain Electronic Health Records (EHR) and Electronic Medical Records (EMR)
  • Transcribe medical notes, reports, and patient histories
  • Ensure compliance with HIPAA regulations and data security
  • Organize and manage confidential medical files

3. Insurance & Billing Assistance

  • Process insurance claims and verify patient eligibility
  • Assist with medical billing, coding, and invoicing
  • Follow up on outstanding claims and payments
  • Communicate with insurance providers and patients regarding billing issues

4. Customer Service & Virtual Front Desk Duties

  • Handle patient inquiries via phone, email, and live chat
  • Assist with new patient onboarding and intake forms
  • Provide reminders for upcoming appointments, medication schedules, and follow-ups
  • Offer basic guidance on healthcare procedures and provider information

Required Skills & Qualifications:

  • Experience in healthcare administration, medical billing, or medical assistance
  • Knowledge of EHR/EMR software (e.g., Epic, Kareo, Athenahealth, NextGen)
  • Understanding of HIPAA compliance and patient confidentiality
  • Strong communication and customer service skills
  • Proficiency in Microsoft Office, Google Suite, and telehealth platforms
  • Excellent attention to detail and data accuracy

Preferred Qualifications:

  • Certification in Medical Billing & Coding or Healthcare Administration
  • Experience with telemedicine platforms
  • Knowledge of ICD-10 and CPT coding
