We are seeking a highly skilled Real Estate Virtual Assistant (VA) to support our real estate business with administrative, marketing, transaction coordination, and client communication tasks. The ideal candidate is detail-oriented, tech-savvy, and experienced in the real estate industry. This is a fully remote position, providing support to real estate agents, brokers, and investors.

Key Responsibilities:

1. Administrative Support:

  • Manage emails, calendars, and scheduling appointments
  • Prepare contracts, agreements, and disclosures
  • Organize and maintain client and property files
  • Data entry and CRM management (e.g., Follow Up Boss, KVCore, Salesforce)
  • Handle MLS listing updates and property data entry

2. Lead Management & Client Communication:

  • Respond to inquiries via email, phone, and chat
  • Pre-qualify leads and schedule appointments
  • Follow up with potential buyers, sellers, and past clients
  • Manage and update a pipeline of leads in CRM
  • Cold calling and appointment setting for agents

3. Transaction Coordination:

  • Assist with preparing and reviewing contracts, addendums, and disclosures
  • Coordinate with lenders, title companies, and clients
  • Track deadlines and ensure a smooth closing process
  • Collect required documentation from buyers, sellers, and agents

4. Marketing & Social Media Management:

  • Design and post real estate listings on MLS, Zillow, Redfin, and social media
  • Create marketing materials (flyers, brochures, email campaigns)
  • Manage and schedule content on Facebook, Instagram, LinkedIn, and YouTube
  • Run Facebook and Google Ads for property promotions
  • Develop and manage real estate blogs and newsletters

5. Market Research & Reports:

  • Conduct comparative market analysis (CMA) reports
  • Research properties, neighborhood trends, and demographics
  • Generate reports on real estate market activity
  • Assist in preparing broker price opinions (BPOs)

6. Accounting & Bookkeeping Assistance:

  • Track commissions, expenses, and invoices
  • Manage rental payments and property management tasks
  • Assist with QuickBooks or other accounting software

Required Skills & Qualifications:

  • Real estate experience (Preferred: Knowledge of U.S. real estate practices)
  • Proficiency in CRM software (e.g., Follow Up Boss, KVCore, Podio)
  • Strong knowledge of MLS platforms, Zillow, Redfin, DocuSign
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Experience with social media marketing and content creation
  • Proficiency in Google Suite, Microsoft Office, Canva, Adobe, QuickBooks
  • Ability to work independently with minimal supervision

Preferred Qualifications:

  • Prior experience as a Real Estate VA, Transaction Coordinator, or Listing Assistant
  • Familiarity with real estate laws, contracts, and compliance
  • Experience in cold calling and lead generation

Work Schedule & Compensation:

  • Fully Remote | Flexible schedule based on real estate operations
  • Competitive hourly rate ($4 - $10/hr based on experience)
  • Potential for bonuses based on performance and closed transactions
