US Payroll Specialist

Position Summary:
The Payroll Specialist will be responsible for overseeing all aspects of payroll processing, ensuring compliance with federal and state regulations, and maintaining the accuracy of employee compensation. This role requires a detail-oriented individual with extensive experience in U.S. payroll processing and proficiency in payroll platforms, preferably CoAdvantage. Experience with platforms such as ADP, Paychex, Gusto, or TriNet is a strong plus. Candidates must have strong night shift experience and possess excellent communication skills to collaborate effectively across teams.
Key Responsibilities:
- Process bi-weekly payroll for all employees, ensuring timely and accurate payments.
- Maintain and update employee payroll records, including new hires, terminations, and changes to pay rates or deductions.
- Utilize CoAdvantage or similar payroll platforms to manage payroll processing.
- Verify timesheets, calculate hours, and ensure compliance with overtime regulations.
- Prepare and process payroll tax filings, including federal, state, and local taxes.
- Resolve payroll discrepancies and address employee inquiries related to payroll matters.
- Generate and review payroll reports for accuracy and compliance.
- Ensure compliance with all federal and state payroll regulations, including wage and hour laws.
- Collaborate with HR and accounting teams to reconcile payroll-related accounts.
- Communicate effectively with team members across different time zones during the night shift in the Philippines.
- Stay updated on changes in payroll laws and regulations to ensure compliance.
Skills & Qualifications:
- Minimum of 3 years of experience in U.S. payroll processing.
- Hands-on experience with payroll platforms, preferably CoAdvantage; experience with ADP, Paychex, Gusto, TriNet, or similar systems is a plus.
- Strong knowledge of federal and state payroll regulations, including wage and hour laws.
- Proficiency in Microsoft Office, especially Excel, for payroll reporting and reconciliation.
- Demonstrated experience working night shifts, with the ability to manage responsibilities effectively during non-standard hours.
- Excellent communication skills, both written and verbal, to facilitate clear and effective collaboration.
- Exceptional attention to detail and problem-solving skills.
- Ability to handle confidential information with integrity and discretion.
- Familiarity with benefits administration and integration with payroll platforms.
- Certified Payroll Professional (CPP) designation is a plus.
