M365 COE Specialist

Job Role: M365 COE Specialist

As the M365 COE Specialist, you will play a vital role in supporting the COE Manager in the day-to-day management and optimization of the M365 Center of Excellence. You will assist in implementing governance frameworks, monitoring performance metrics, analyzing user feedback, and driving continuous improvement initiatives.

This role requires strong analytical skills, attention to detail, and the ability to collaborate effectively with cross-functional teams.

Position Summary

The candidate(s) will be part of SingHealth Office of Digital Empowerment (ODE). ODE works closely with digital partners and Synapxe to promote adoption of self-service digital tools e.g. M365, OGP products. Office of Digital Empowerment also functions as conduit between business and IT, to facilitate and support digital explorations and POCs/POVs.

Roles And Responsibilities

1. Governance Framework Implementation:

- Assist in the development, documentation, and implementation of governance frameworks, policies, and procedures for M365 services.

2. Performance Monitoring and Reporting:

- Collect, analyze, and report on key performance indicators (KPIs), metrics, and trends related to M365 service usage, adoption, and satisfaction.

- Develop and maintain dashboards, scorecards, and reports to track service performance, user engagement.

3. User Adoption and Training Support:

- Support user adoption initiatives by assisting in the development and delivery of training programs, workshops, and resources.

- Coordinate training sessions, events, and communications to promote awareness, proficiency, and utilization of M365 tools and features.

- Gather user feedback and insights to identify training needs, preferences, and areas for improvement in training materials and delivery methods.

4. Change Management Coordination:

- Assist in coordinating change management activities, communications, and stakeholder engagement efforts to facilitate the adoption of M365 initiatives.

- Maintain communication channels, knowledge repositories, and feedback mechanisms to ensure transparency, alignment, and accountability throughout the change process.

- Collaborate with cross-functional teams to address user concerns, resolve issues, and implement corrective actions in a timely manner.

5. Documentation and Knowledge Management:

- Develop and maintain documentation, user guides, FAQs, and knowledge base articles to support M365 users.

- Ensure documentation is accurate, up-to-date, and accessible, following organizational standards and best practices.

- Contribute to the development of process documentation, workflow diagrams, and standard operating procedures (SOPs) to streamline operations and enhance efficiency.

Requirements / Qualifications

  • Familiarity with Microsoft 365 suite, including SharePoint, Teams, Exchange, OneDrive, and Power Platform.
  • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
  • Strong business analysis, ability to translate business needs to technical solutions with M365.
  • Excellent communication skills to interact with stakeholders at all levels.
