About the job Receptionist/ Sales Support Specialist
The Receptionist & Sales Support is responsible for providing excellent customer service and administrative support others and involves managing front desk operations, assisting with sales leads, patient appointment coordination, and ensuring smooth communication between patients, staff, and management with five-star service. The ideal candidate will exhibit strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. Additionally, this position is responsible for organizing, coordinating, and overseeing the day-to-day operations of Cenegenics Puerto Rico, greeting, and attending to guests, distributing deliveries, and confirming patients' evaluation dates and times. This position is also responsible for coordinating the ordering, pick-up and serving of patient meals and will work directly with management and Physicians on a daily basis. This position also is responsible for supporting the sales cycle. The position includes answering inbound and outbound calls, creating and maintaining lead records, qualifying and connecting/scheduling prospects to Program Consultants for a consultation. Must be available weekdays and weekends.
- Conducts high-volume of incoming calls and outbound calls through automaticdialer
Perform detailed documentation maintenance for cross-functional teams
Provides information to prospective clients and physicians
Schedules and confirms patients' appointments, meetings, and conferences, andmaintains calendars
Ensures quality customer service during communications with various callers
Manage new prospective leads through phone and email communication,
converting them into initial/active patients.
Assist in the closing process of prospective patients/leads, converting them into active patients.
Performs research using the internet and other available resources to locate and compile information
Uses various software applications, specifically Microsoft Office, to assemble
and/or format data and reports Aids with special projects as requested by his/her manager/director
Assists with special events planning
Participates in call critiques which include providing feedback for co-workers and receiving feedback from co-workers, instructors and managers.
Provides internal and external support to office encouraging an enjoyable and healthy workplace environment for staff and patients
Oversee the coordination of the following administrative tasks:
Covering reception area and answering incoming calls
Greet patients and visitors
Distribute and route calls, voicemails and faxes
Distribute deliveries to appropriate stakeholders
Maintain cleanliness and organization of office, break rooms, conference/board room, patient VIP rooms and exam rooms at the end of the day
