Role Overview

This role combines administrative support with high-level personal assistance, requiring strong organizational skills, discretion, and the ability to manage both professional and personal priorities efficiently.

Key Responsibilities

Administrative Support

  • Manage calendars, schedule meetings, and coordinate appointments to optimize time management.
  • Prepare, review, and edit documents, presentations, and reports.
  • Assist in report preparation, data analysis, and research activities.
  • Take accurate meeting notes and ensure follow-ups are documented and tracked.
  • Conduct research on various topics and present summarized insights.
  • Maintain organized filing systems and ensure documentation is up-to-date.
  • Create and manage spreadsheets for tracking and analysis.
  • Draft emails, reports, and other correspondence.
  • Coordinate team projects and ensure deadlines are met.
  • Collaborate with internal teams and external stakeholders for smooth communication.
  • Leverage tools and technology to improve efficiency and processes.
  • Support ad-hoc tasks and assignments as required.

Additional Responsibilities

  • Provide dedicated support in managing day-to-day personal and professional schedules.
  • Handle confidential matters with a high level of discretion and professionalism.
  • Coordinate travel arrangements, including itineraries, accommodations, and transportation.
  • Manage personal appointments, reminders, and commitments.
  • Assist with personal tasks, errands, and requests as needed.
  • Act as a point of contact and gatekeeper for communications.
  • Prioritize and manage competing demands effectively.
Qualifications
  • Bachelor's degree in Business Administration, Management, or a related field.
  • 1–2 years of experience in an administrative, executive assistant, or personal assistant role.
  • Strong proficiency in MS Office (Excel, Word, PowerPoint) and collaboration tools.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • High level of discretion, integrity, and professionalism.
  • Ability to handle sensitive and confidential information.
  • Experience in calendar management, travel coordination, and stakeholder communication is preferred.
