Role Overview
This role combines administrative support with high-level personal assistance, requiring strong organizational skills, discretion, and the ability to manage both professional and personal priorities efficiently.
Key Responsibilities
Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments to optimize time management.
- Prepare, review, and edit documents, presentations, and reports.
- Assist in report preparation, data analysis, and research activities.
- Take accurate meeting notes and ensure follow-ups are documented and tracked.
- Conduct research on various topics and present summarized insights.
- Maintain organized filing systems and ensure documentation is up-to-date.
- Create and manage spreadsheets for tracking and analysis.
- Draft emails, reports, and other correspondence.
- Coordinate team projects and ensure deadlines are met.
- Collaborate with internal teams and external stakeholders for smooth communication.
- Leverage tools and technology to improve efficiency and processes.
- Support ad-hoc tasks and assignments as required.
Additional Responsibilities
- Provide dedicated support in managing day-to-day personal and professional schedules.
- Handle confidential matters with a high level of discretion and professionalism.
- Coordinate travel arrangements, including itineraries, accommodations, and transportation.
- Manage personal appointments, reminders, and commitments.
- Assist with personal tasks, errands, and requests as needed.
- Act as a point of contact and gatekeeper for communications.
- Prioritize and manage competing demands effectively.
Qualifications
- Bachelor's degree in Business Administration, Management, or a related field.
- 1–2 years of experience in an administrative, executive assistant, or personal assistant role.
- Strong proficiency in MS Office (Excel, Word, PowerPoint) and collaboration tools.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- High level of discretion, integrity, and professionalism.
- Ability to handle sensitive and confidential information.
- Experience in calendar management, travel coordination, and stakeholder communication is preferred.
