JOB SUMMARY / SPECIFIC ACCOUNTABILITIES:
- The Legal Assistant is generally tasked to ensure that all policies, guidelines, procedures and internal controls set by the management and other regulatory bodies are complied with and undertaken by the department.
- The Legal Assistant generally tasked to perform legal secretarial tasks that are specific to the legal corporate field.
- The Legal Assistant shall ensure adherence to existing internal control procedures while maintaining the highest quality of service.
SPECIFIC DUTIES AND RESPONSIBILITIES:
Management:
- Assists the Legal Department Head in ensuring that the department observes audit compliance requirements and other governmental laws and regulations.
- Performs other related tasks as may be assigned by immediate superiors from time to time.
Operation:
- Ensures the correctness and accuracy of minutes of meeting which must be done on a timely manner
- Prepares legal documents, such as legal correspondences, memorandums, etc.,
- Preparation of the minute of meeting including the Board of Directors Meeting, Executive Committee Meeting and others such meeting as may be assigned by the Legal Head.
- Conducts research and reading legal articles, and more.
- Performs standard secretarial duties that might include answering phones and email, filing, creating and maintaining schedules for the Legal Head, ordering supplies, copying, faxing and maintaining the office.
- Coordinates with other departments for all material and datas needed by the department.
- Ensures all the needs of the stakeholders and Board of Directors are effectively and properly addressed on close coordination with the Legal Head
- Performs other related tasks as may be assigned by immediate superiors from time to time.
Custodianship:
- All Legal folders and documents
- Bank equipment
General Authority:
The position is authorized to take any reasonable action necessary to perform the duties and responsibilities of his/her designation within the limits of authority in strict coordination with the Legal Head.
Monitoring and Reporting:
Receives and monitors requests from other department and make sure that it is accomplished on a timely manner.
COMPETENCIES:
- Proficient in a variety of computer software applications which include: Word processing, Spreadsheet, Presentation, Document Management, and Transcription
- Interpersonal and communication skills are essential. In addition to face-to-face contact, secretaries communicate by e-mail, telephone
- Writing and transcriptional skills is a must
WORKING RELATIONS:
- Internal Interactions - Stockholders/Board of Directors, All Division and Departments
- External Interactions - BSP and Other Governmental regulators, Bank clients
QUALIFICATION GUIDELINES:
Education : Must possess at least be a Bachelor/College degree in Legal Management, Political Science, Business studies or equivalent
Experience : Experience in Corporate Law/Loan Documentation / Collections / Litigation from a reputable banking/ financial services industry is an advantage.
Others : Must be able to analyze and solve complex problems. With strong analytical, leadership, interpersonal and negotiation skills.
