The company is entering a new phase: from a centralized Belgian structure to a multi-entity, pan-European organization. With active operations now in Belgium, Spain, and Romania, we are on a journey to become an integrated, agile, and streamlined European consulting business with a focus on Data and AI.
As Business Process Partner, you will take the lead in designing, coordinating, and optimizing our internal business processes across finance and HR with a strong focus on simplicity, scalability, and collaboration. This is a crucial role that directly contributes to our strategic objectives: not just about implementation, but about thinking creatively, designing smart systems, and enabling growth across the European organization.
Who you are?
- You are a strategic thinker with a strong interest for clarity and simplification.
- You bring solid experience in HR, finance operations, and/or payroll business process design in a European or multi-entity setting.
- You may not be a finance expert, but you know how invoicing, contracting, and compliance should work across borders and you're comfortable managing stakeholders who are.
- Youre curious, entrepreneurial, and energetic eager to take ownership and push things forward.
- You have advised senior stakeholders (C-level or leadership teams) and are confident in navigating ambiguity.
- You are fluent in English and Spanish, and thrive in multicultural, fast-evolving environments.
What you will do?
Design and Direction
- Contribute to the design of scalable, efficient internal business processes in HR, finance, and operational workflows across European entities.
- Partner with local teams to ensure all entities (Spain, Belgium, Romania) operate with cohesion, visibility, and consistency.
- Think like an architect: define what good looks like for our contracts, invoicing, payroll, onboarding, travel policies, etc.
- Bring clarity and simplicity to complexity making sure processes are lean, documented, and easy to adopt.
- Design and set-up HR and finance operations for our brand new Spanish entity, in full compliance with Spanish local regulations.
Cross-Entity Integration
- Drive harmonization across legal entities by aligning operational procedures (e.g. contracting, payroll, compliance) while preserving local flexibility.
- Ensure the business operates with a single European mindset, supported by fit-for-purpose systems and structures.
- Enable our shift from centralized control (Belgium) to a distributed sales and delivery model by ensuring backend processes are future-ready.
Execution and Ownership
- Translate ideas into action: pilot and test new process frameworks and improve them based on team feedback.
- Own the rollout and internal change management of new tools, workflows, and internal governance practices.
- Collaborate with finance, HR, legal, and tech stakeholders to ensure seamless cross-functional delivery.
- Be the reference person for our Spanish colleagues for all HR related topics including: payroll administration, contracting and onboarding/offboarding of colleagues.
- Manage cashflow, accounts receivable and accounts payable for the Spanish entity.
Visibility and Control
- Help build and maintain a clear overview of key processes: who does what, where, and how.
- Introduce process dashboards, documentation standards, and light governance models to support clarity and accountability.
- Act as a point-of-contact for internal process-related questions, and a coach for teams adopting new ways of working.
What we expect from you
- 4-7 years of experience in operations (admin, payroll&HR, finance & accounting), business process design, or internal transformation roles.
- Experience working across multiple European countries or entities.
- Ability to translate business needs into process solutions not just implementing, but shaping how we work.
- Project management experience is a plus; strong communication and documentation skills are essential.
- Proven ability to work independently, take initiative, and drive change in environments with evolving structure.
