The client is an IT consultancy company headquartered in Germany, with an additional office in Romania. The role is part of the department responsible for managing freelancers within the organization. The selected candidate will coordinate cross-border IT projects and collaborate with experienced freelancers and nearshore teams. To support the administrative team, the company is seeking an organized, detail-oriented professional who is motivated to work in an international environment and follow well-structured processes.

Location: Romania (remote)
Working hours: Full-time or part-time (ideally between 9:00-17:00 CET)
Work Arrangement: Permanent Employment Contract
Required Language Proficiency: Fluency in German and English


What you’ll do:

  • Create and update consultant profiles in our freelancer management platform quickly, clearly, and in a structured manner.
  • Prepare Non-Disclosure Agreements (NDAs) and send them via DocuSign before interviews.
  • Perform sanction list checks for individuals and companies in accordance with our compliance policies.
  • Manage data in the ERP system: create and update records for freelancers and partners.
  • Handle contract processes: send documents via DocuSign, archive them, and summarize key information.
  • Update project data and ensure all information is accurate and up to date.
  • Monitor deadlines and send timely notifications about contracts nearing their end.
  • Keep CVs of colleagues, especially those in nearshore teams, updated in our dedicated portal.

What we’re looking for:

  • Minimum 1.5 years of experience in an administrative role, preferably in an international or technical context.
  • Excellent German language skills, both written and spoken German will be the main communication language.
  • Professional and friendly communication skills with various internal and external stakeholders.
  • A reliable, structured, and meticulous approach to task management.
  • Ability to work quickly and with attention to detail, even during busy periods.
  • Proactive attitude, process improvement mindset, and a strong sense of teamwork.

Bonus points for:

  • Experience with Atlassian JIRA or other ticketing systems.
  • Previous experience in IT or delivery support roles.
