Key Responsibilities:
Job Scheduling & Coordination
- Load, assign, and monitor new jobs based on urgency and priority
- Coordinate with field workers to ensure smooth scheduling and real-time updates
- Ensure accurate and timely submission of timesheets
- Follow up on job progress and update relevant systems or team members
Administrative Support
- Manage incoming calls, emails, and inquiries from clients and contractors
- Organize and maintain clean, up-to-date email inboxes and records
- Prepare and manage job documentation, spreadsheets, and reporting
- Provide general support to the leadership team as needed
Social Media & Brand Management
- Maintain and schedule posts on Instagram, Facebook, and other platforms
- Monitor and respond to Google reviews, encouraging client feedback
- Assist in basic website content updates and ensure online information is current
- Collaborate on branding initiatives as the business scales and prepares for franchising
Who We're Looking For:
- Exceptional written and verbal communication in English
- Highly organized, detail-oriented, and proactive
- Ability to multi-task and prioritize effectively in a fast-paced environment
- Trustworthy and dependable with a positive, can-do attitude
- Confident in communicating with team members, contractors, and clients
Preferred Experience:
- High-volume data entry and coordination
- Experience using job scheduling, Fergus or CRM tools
- Social media management (Instagram, Facebook, content calendars)
- Familiarity with basic website editing tools (e.g., WordPress, Wix, or similar)
- Prior experience in a service-based or maintenance industry is a plus
